Shipping Coordinator

Description
The Shipping Coordinator is responsible for supporting the scheduling and coordination of warehouse personnel, daily activities, and customer service interactions (phone and email). This role assists warehouse staff with delivery, scanning, and inventory-related issues while helping ensure accurate and timely order processing. The Shipping Coordinator also coordinates workflow to achieve daily operational targets, supports continuous improvement initiatives, and responds to general employee inquiries. This position partners closely with the DC Supervisor to accomplish departmental objectives while promoting a culture of safety, quality, and Lean operational excellence.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties as assigned.)
Coordinate and monitor the fulfillment of all customer orders; provide hands-on support when necessary to ensure accuracy, timeliness, and customer satisfaction.
Communicate proactively with Customer Service regarding unavailable or quality-related product issues.
Maintain clear and accurate documentation of order exceptions, inventory discrepancies, and corrective actions.
Research item history to identify causes of discrepancies between physical inventory and system records; recommend and support corrective actions to improve accuracy and prevent recurrence.
Collaborate with warehouse personnel to ensure proper handling, storage, and shipment of finished goods in accordance with quality and safety standards.
Support cycle counts, root cause analysis, and Lean problem-solving activities (e.g., 5 Why’s, Gemba walks).
Ensure all material handlers are trained and competent in their daily responsibilities, safety procedures, and equipment operation
Promote and enforce warehouse safety policies, hazard reporting, and safe work practices, including compliance with OSHA requirements.
Model and reinforce 5S standards (Sort, Set in Order, Shine, Standardize, Sustain) to maintain a clean, organized, and “inspection-ready” facility at all times.
Assist in coordinating daily staffing assignments to meet operational goals while minimizing downtime and waste.
Recommend workflow improvements, layout enhancements, or process changes in alignment with Lean principles to increase efficiency and reduce operational waste.
Support the DC Supervisor with data tracking, KPI monitoring, and performance analysis.
Requirements
SUPERVISORY RESPONSIBILITIES
In partnership with the DC Supervisor, this position will provide input and recommendations regarding processes within shipping, stocking, and quality control areas. This role may provide guidance to warehouse employees during daily activities but does not hold direct managerial authority.
MINIMUM QUALIFICATIONS include the following.
High School diploma or equivalent, minimum 3 years related warehouse experience, Certification in operation of material-handling equipment (forklifts, pallet jacks, etc.). Proficiency with Microsoft Word and related software applications.
EDUCATION and/or EXPERIENCE
High School diploma or equivalent required, Minimum 3 years of experience in warehouse, logistics, or shipping operations.
LANGUAGE SKILLS
Fluent in English; strong written and verbal communication skills.
SKILLS
Understanding of handling, packaging, inventory management, and distribution systems.
Strong organizational, analytical, and time-management skills.
Ability to effectively communicate with employees at all levels of the organization.
Competence in operating forklifts, pallet jacks, and other material-handling equipment.
Familiarity with Lean principles, basic root-cause analysis, and standard work documentation (preferred).
