Waitlist & Exception Review Coordinator (OPTN)

Overview
CVP is seeking a Waitlist & Exception Review Coordinator to join our growing team supporting OPTN. The OPTN Waitlist & Exception Review Coordinator supports the intake, tracking, coordination, and documentation of UNet waitlist modification and exception review processes, including Regional Review Board activities. This role ensures cases are processed accurately, timelines are maintained, and review board operations are supported in a consistent, organized, and compliant manner in alignment with OPTN policies and HRSA requirements.
Responsibilities
- Coordinate intake and processing of waitlist modification and exception requests, ensuring completeness and readiness for review
- Track and manage case status, timelines, and outcomes, maintaining accurate and up-to-date records
- Support Regional Review Board operations, including preparation of case materials, coordination of reviews, and documentation of outcomes
- Ensure all cases and materials are aligned with OPTN policies, laws, and review requirements
- Maintain structured tracking tools to monitor case flow, review timelines, and decision status
- Coordinate with Policy Liaisons, analysts, and other contractors to ensure accurate and timely case review support
- Prepare and maintain case summaries, logs, and reports to support oversight and visibility
- Identify and escalate delays, inconsistencies, or issues impacting case processing or review timelines
- Ensure all documentation and case materials are complete, accurate, and stored in approved systems
- Support compliance with data handling, confidentiality, and security requirements
Qualifications
- Experience working with UNet Waitlist, including case review, status updates, or exception-related workflows
- Working knowledge of OPTN Policies, bylaws, and review requirements related to waitlist modification and exception processes
- Experience supporting case intake, tracking, coordination, and documentation in a regulated healthcare or transplant operations environment
- Strong attention to detail and ability to maintain accurate, complete, and current case records
- Ability to manage multiple cases and timelines simultaneously in a fast-paced, deadline-driven environment
- Strong organizational, analytical, and problem-solving skills
- Experience preparing case summaries, logs, trackers, and reports
- Ability to identify, escalate, and help resolve workflow issues, delays, and inconsistencies
- Experience coordinating with multiple stakeholders, including operational staff, analysts, and leadership
- Strong written and verbal communication skills
- Experience working with Microsoft Office tools, particularly Excel, Word, and Outlook
- Experience working with Federal Government clients or within a federally regulated environment is preferred
Desired Qualifications
- Experience supporting Regional Review Board or similar case review processes
- Experience with OPTN transplant operations, waitlist processes, or exception pathways
- Familiarity with secure documentation, records management, and confidentiality requirements in healthcare environments
