About the Role

Job Overview:

The Internal Communications Specialist will play a vital role in enhancing employee engagement and promoting internal communications throughout the organization. This role will focus primarily on managing internal communications platforms, creating content, and supporting communication strategies across multiple channels. The individual will also assist in executing key events, including acting as the MC, to drive employee engagement and foster a positive organizational culture.

 

Key Responsibilities:

  1. Manage Internal Communications Platforms:
    1. Oversee and update the company’s internal communication platforms, including intranet, newsletters, emails, and messaging systems.
    2. Collaborate with different departments to ensure content is relevant, accurate, and timely.
    3. Monitor the effectiveness of communication platforms and suggest improvements.
  2. Content Creation & Distribution:
    1. Write, edit, and proofread internal communications content, including announcements, updates, and employee spotlights.
    2. Ensure all communications are aligned with the company’s voice, values, and goals.
    3. Work with senior management and HR to draft and distribute key messages to staff.
  3. Event Support & Execution:
    1. Assist in planning, organizing, and executing internal events, including company-wide meetings, team-building activities, and corporate celebrations.
    2. Serve as the Master of Ceremonies (MC) for internal events, ensuring smooth transitions between sessions and engaging the audience.
    3. Coordinate logistics for events, including technical setup, materials, and attendee engagement.
  4. Employee Engagement:
    1. Collaborate with leadership teams to develop strategies for increasing employee engagement and participation in company events.
    2. Gather feedback from employees to evaluate the effectiveness of communications and events, using surveys and direct communication.
    3. Foster an open communication culture by encouraging feedback and suggestions.
  5. Collaboration and Coordination:
    1. Work closely with cross-functional teams, including HR, Business Development/Marketing, and other senior leadership, to ensure internal communications are aligned with company goals.
    2. Provide support to leadership in delivering key messages to employees.
    3. Support and develop development and execution of communication strategies.
  6. Reporting & Analytics:
    1. Track and report on the performance of internal communications efforts, including engagement rates and event attendance.
    2. Use data to suggest improvements for future communications strategies and events.
  7. Additional Responsibilities:
    1. Stay up-to-date with best practices and emerging trends in internal communications.
    2. Provide assistance with ad-hoc projects as needed.

 

Key Qualifications:

  •  Education: Bachelor’s degree in Communications, Public Relations, Marketing, or related field preferred.
  • 1-3 years of experience in internal communications, public relations, or a related field.
  • Experience with content creation and event coordination is highly desirable.
  • Experience as an MC or in facilitating events is a plus.

 

Skills:

  • Strong written and verbal communication skills.
  • Proficient in using communication platforms such as intranets, WhatsApp, newsletters, and collaboration tools.
  • Comfortable speaking in front of groups and hosting internal events.
  • Ability to work collaboratively across teams and manage multiple tasks simultaneously.
  • Attention to detail and strong organizational skills.
  • Ability to work under pressure and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with communication tools (e.g., Slack, Microsoft Teams, SharePoint, or similar).
  • Basic design skills for creating internal communications content (e.g., using Canva or similar tools) are a plus.

 

Supervisory Responsibility 

This role carries no supervisory responsibilities.

 

Work Environment 

  • The role is based in a modern office environment with a designated workspace and access to necessary equipment like computers, phones, and technology. You may assist in organizing events using company meeting rooms or event spaces, which are equipped with tech for presentations and virtual meetings. Some events may require travel to other company locations or off-site venues, and any travel needs will be communicated in advance and scheduled accordingly.

 

Physical Demands

The Internal Communications Specialist role involves primarily office-based work, including sitting at a desk and using a computer for tasks like content creation and editing. There may also be some physical demands, such as assisting with event setup, which could include light lifting and arranging materials. Additionally, the role may require standing for extended periods when serving as an MC or speaker at events, and occasional travel to different company locations or off-site venues. 

 

Work Schedule

The standard hours of operation are Monday through Friday, from 8:30 a.m. to 5:30 p.m. Flexibility in work hours may also be needed for evening or weekend events.

 

Travel 

There is no travel required for this position at present; however, travel may be required in the future based on business needs.
