Billing Executive

As a Billing Executive, you will be responsible for ensuring the accuracy, timeliness, and completeness of all billing activities. You will manage end-to-end invoice processing, validate billing data across internal project team, and support overall financial operations. This role plays a critical function in maintaining smooth billing cycles, supporting cash flow, and acting as a key liaison between project teams, clients, and finance.
Responsibilities:
- Manage end-to-end billing cycles (monthly, quarterly), including invoice preparation, validation, and submission via invoice portals.
- Perform billing data verification against project deliverables, purchase orders (POs), and contractual agreements to ensure accuracy and compliance.
- Collaborate closely with project teams, account managers, and clients to resolve billing discrepancies and ensure timely invoicing.
- Prepare, analyze, and maintain billing reports, aging reports, and reconciliation summaries.
- Support accounts receivable (AR) processes, including payment tracking and follow-ups on outstanding invoices.
- Handle billing adjustments, corrections, credit notes, and exceptional cases in a timely and accurate manner.
- Ensure adherence to internal controls, SOPs, and audit requirements related to billing operations.
- Continuously identify opportunities to improve billing processes, accuracy, and efficiency.
- Bachelor’s Degree or Diploma in Accounting, Finance, Business Administration, or a related field from a reputable university is highly preferred.
- Minimum 2+ years of experience in billing, accounting, finance operations, or accounts receivable roles, preferably in a fast-paced or project-based environment.
- Proven hands-on experience with accounting and billing systems such as QuickBooks.
- Strong understanding of accounting fundamentals, including invoicing, revenue recognition basics, reconciliation, and financial reporting.
- Demonstrated ability to handle high-volume transactions with strong attention to detail and accuracy.
- Excellent analytical and problem-solving skills, with the ability to identify discrepancies and resolve issues proactively.
- Strong communication and stakeholder management skills, with the ability to coordinate effectively across internal teams and external clients.
- Fluent in English (both written and spoken) is a must, with the ability to communicate professionally in a business environment.
- Highly organized, proactive, and able to prioritize multiple tasks under tight deadlines with minimal supervision.
- High level of integrity, professionalism, and confidentiality in handling sensitive financial data.
- Advanced proficiency in Microsoft Excel (e.g., Pivot Tables, VLOOKUP, data reconciliation) is required.
- Willing to be based full-time in Bandung, West Java.
