POSITION PURPOSE

Responsible for a variety of department operational duties and support functions in the Trust Department. Assist Trust Administrators with various duties related to their client relationships and clerical related functions.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

Assumes responsibility for the effective performance of all assigned operational and support functions.

  • Opens and sorts all incoming mail. Retrieves and distributes intra-office mail. Prepares mail for office couriers.
  • Maintains account administrative files.
  • Sorts, copies, and distributes reports, documents, and files.
  • Clerical type duties such as setting up new accounts on the computer systems, typing, answering phones, and serving as a receptionist for the Trust Department.
  • All other duties as assigned.

Assumes responsibility for establishing and maintaining effective communications and coordination with area staff and management.

  • Assists and backs up staff as needed.
  • Keeps management informed of area activities and of any significant problems.
  • Represent the Bank in a courteous and professional manner.

Assumes responsibility for related duties as required or assigned.

  • Run errands as requested.
  • Assist with special projects as assigned.
  • Ensure that work area is clean, secure, and well maintained.
  • Advanced Customer service skills, self-starter.
  • Must be able to read and understand legal documents, i.e. trust instruments, wills, etc.
  • Detail oriented with accuracy required in all tasks.
  • Able to work with multiple employees.
  • High level of confidentiality required.
  • Able to prioritize and perform several tasks at one time.
  • Excellent oral and written communication skills.
  • Maintain integrity of account information.

QUALIFICATIONS

EDUCATION/CERTIFICATION:

High school diploma or equivalent; degree or equivalent certification is desired.

REQUIRED KNOWLEDGE:     

  • Knowledge of basic office structure and information flow
  • Knowledge of Windows XP
  • Strong Word and Excel skills needed
  • Able to master new computer programs and systems
  • Accurate typing skills - minimum 40 wpm

EXPERIENCE REQUIRED:        

3+ years clerical experience or equivalent higher level education

SKILLS/ABILITIES:                  

  • Well organized 
  • Good interpersonal and public relations skills
  • Cooperative and willing to assist others

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

Talking: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.

Average Hearing: Able to hear average or normal conversations and receive ordinary information.

Repetitive Motion: Movements frequently and regularly required using the wrists, hands, and/or fingers.

Average Visual Abilities: Average, ordinary, visual acuity necessary to prepare or inspect documents or products or operate machinery.

Physical Strength: Sedentary work; sitting most of the time. Exerts up to 10 lbs. of force occasionally. (Almost all office jobs.)

WORKING CONDITIONS

None: No hazardous or significantly unpleasant conditions (such as in a typical office).

MENTAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved instructions and to deal with problems involving a few variables.

Mathematics Ability: Ability to perform basic math skills, use decimals to compute ratios and percentages, and to draw and interpret graphs.

Language Ability:  Ability to use passive vocabulary of 5,000-6,000 words; read at a slow rate; and define unfamiliar words in dictionaries for meaning, spelling, and pronunciation.

Ability to write complex sentences, using proper punctuation, and using adjectives and adverbs.

Ability to communicate in complex sentences, using normal word order with present and past tenses and good vocabulary.


Hours: Monday - Friday 8:00 AM - 5:00 PM.
40 hours per week.
