About the Role

JOB SUMMARY

The Inventory Team Lead is responsible for overseeing the daily operations of the receiving and inventory control functions to ensure all inventory movements are executed accurately, efficiently, and in alignment with operational standards. This role manages the endtoend flow of inbound materials, including shipment receiving, documentation, system updates, and physical inventory handling.

DUTIES AND RESPONSIBILITIES

·       Manage and Oversee safety stock levels, lead times, and order quantities using NAV statistical analysis, visual estimates, and available storage areas.

·       Review and collaborate with the analytics team on inventory levels, usage rates and operational needs.

·       Lead and oversee the team’s reporting on potential inventory shortages and upcoming expiries, ensuring issues are reported, addressed and resolved.

·       Provide strategic oversight of inventory performance during periods of significant volume change, guiding the team in making timely adjustments and ensuring operational excellence.

·       Provide strategic direction for procurement activities by generating purchase orders in NAVISION that align with lead times, optimal order quantities, storage capacity, and usage trends.

·       Managing workflow and expedite purchase orders when lead times slip or operational needs require acceleration.

·       Utilize and manage the Kan-Ban card system to maintain appropriate kit levels and initiate kit production as required and audit kit stock levels regularly. (combined two bullets)

·       Ensuring consistency and accuracy of production orders and sales orders correctly update stock levels in the system.

·       Verify that production orders and sales orders correctly update stock levels in the system.

·       Prepare Inventory Adjustment Requests for approval and forward to Inventory Manager for processing.

·       Adhere to Bayshore policies and procedures.

·       Participate in quality activities and continuous improvement initiatives aligned with the company’s Quality Management System.

·       Champion a proactive Health & Safety culture by leading preventive initiatives and promptly escalating any risks or concerns to leadership.

·       Lead timely and accurate completion of Accident Reports for all direct reports experiencing workplace injuries, ensuring submission within 24 hours and reinforcing a culture of safety and accountability.

·       Collaborate with staff, department leaders, and senior management to develop, refine, and maintain clear and effective internal processes.

·       Engage cross‑functionally with operations teams to gain deep insight into workflows, constraints, and desired outcomes, including coordinating with external partners when required.

·       Champion continuous improvement by supporting process enhancements and ensuring all process documentation remains current, accurate, and aligned with operational needs.

·       Safeguard the confidentiality of client and corporate information, upholding organizational standards and trust.

·       Provide leadership and direction to warehouse personnel assigned to the Inventory Team Lead, including task delegation, coaching, performance guidance, and fostering a high‑performing team environment.

·       Oversee the planning, preparation, and execution of annual inventory counts, ensuring effective coordination, accuracy, and timely reconciliation.

·       Maintain full accountability for documentation control practices, ensuring all records meet standards for accuracy, completeness, and compliance.

·       Demonstrate flexibility by supporting operations across days, afternoons, and weekends in alignment with business demands.

·       Provide support to other Bayshore sites during peak seasons or business continuity initiatives, promoting organizational resilience and collaboration.

·       Other duties as assigned.

 

Responsibilities Specific to Warehouse and Dex Staff are as follows:

                Willingness to work for extended periods in cold environments (walk-in coolers) while handling and packaging pharmaceutical products.

                Ability to maintain focus, attention to detail, and adherence to GMP or applicable regulatory guidelines, while working in temperature-controlled settings.

                Physical stamina to handle repetitive tasks in cooler conditions, including the use of appropriate PPE.



QUALIFICATIONS

·       High School Diploma or equivalent.

·       3–5 years of experience in inventory management, preferably in a fast‑paced or regulated environment.

·       2–3 years of experience in data analytics and execution, with the ability to interpret data, identify trends, and support operational decision‑making.

·       Demonstrated conflict‑resolution skills, with the ability to address issues professionally and maintain a positive team environment.

·       Basic accounting knowledge is considered an asset.

·       Strong analytical, observational, and problem‑solving abilities.

·       High sense of urgency, strong work ethic, and a positive, team‑focused attitude.

·       Excellent oral and written communication skills, including the ability to prepare clear documentation.

·       Intermediate computer proficiency, including MS Word, Excel, PowerPoint, Outlook, and the ability to learn additional software/applications as required.

·       Ability to perform physically demanding tasks, including receiving and handling product.

·       Ability to lift up to 50 lbs repetitively.

 

Other Skills and Abilities

·       Excellent time management with the ability to prioritize multiple assignments and meet deadlines.

·       Valid driver’s license and reliable vehicle for off-site meetings is an asset.

·       Familiarity with Good Manufacturing (GMP) or applicable Regulatory Guidelines, particularly regarding temperature-controlled storage and handling of pharmaceutical products (a must requirement for Warehouse and Dex employees).

  • Employees working in warehouse operations are required to wear and properly use all essential or required personal protective equipment (PPE) as outlined by their department leader and in accordance with the employer’s safety requirements. This obligation applies to current PPE requirements and any future revisions necessary to maintain compliance with applicable occupational health and safety legislation and regulations.
