Overview

We are seeking a high-level Administrative Director to lead and build the operational, administrative, and recruiting systems of a fast-growing pediatric therapy practice on Maui.


This is not a maintenance role — this is a builder role.


You will be responsible for ensuring our clinics run efficiently today while building the systems, teams, and infrastructure needed to support continued growth across Physical Therapy, Occupational Therapy, ABA, and administrative services.


This role includes full ownership of recruiting, hiring, and onboarding across all departments.

What You Will Own:

Operations

  • Clinic performance, scheduling efficiency, and patient flow 
  • Front Desk and administrative team performance 
  • Ensuring high schedule utilization and minimal gaps in care 

Recruiting, Hiring & Staffing

  • You will own the full lifecycle of recruiting and staffing across the organization
  • Building and maintaining active candidate pipelines
  • Sourcing, screening, and interviewing candidates 
  • Managing the hiring process from initial contact through offer 
  • Partnering with clinical leadership on hiring decisions 
  • Ensuring timely hiring to prevent staffing gaps 
  • Designing and improving recruiting systems and processes
  • Foster a positive work culture by promoting open communication, team collaboration, and employee engagement.

Onboarding & Training Systems

  • Build and oversee structured onboarding programs for all roles 
  • Ensure new hires are trained, competent, and productive 
  • Implement training systems with clear accountability and competency tracking

Systems & Process Development

  • Build SOPs across administrative, operational, and recruiting functions 
  • Improve workflows to reduce inefficiencies and daily issues 
  • Create scalable systems that support continued growth

Revenue Cycle (in partnership with billing team)

  • Ensure authorizations are in place to prevent care disruptions 
  • Support clean claims, timely follow up, and strong collections 
  • Monitor key revenue cycle trends and address issues proactively

Patient Experience

  • Ensure a consistent, professional experience for all families 
  • Oversee communication regarding scheduling, attendance, and insurance 
  • Ensure timely and clear communication regarding authorizations and denials


Success in This Role Looks Like

  • Clinics operating at 95–100% schedule utilization 
  • Fully staffed teams across all departments with minimal hiring delays 
  • Strong candidate pipelines for all key roles 
  • New hires who are quickly trained and performing at a high level 
  • Efficient systems that reduce daily operational issues 
  • Proactive management of authorizations and revenue processes 
  • High-performing, accountable administrative team

Requirements

  • Strong leadership and team management skills
