Bishop McNamara High School is a private, Catholic co-educational high school in the Holy Cross tradition, offering its students a challenging college preparatory curriculum and a complete range of athletics and activities. The school is located in Forestville, Maryland, about 10 minutes from Washington, D.C. 

 

Bishop McNamara High School seeks a highly organized, detail-oriented, and relationship-driven Event & Sponsorship Coordinator to plan and execute a wide range of school events that support advancement, alumni engagement, fundraising, and the school’s capital campaign initiatives. This role plays a key part in delivering high-quality experiences while cultivating sponsorships and strengthening relationships with donors, alumni, and community partners.

Requirements

 

Event Planning & Execution

  • Coordinate all aspects of events from concept through completion, including timelines, logistics, and post-event follow-up
  • Manage signature events such as golf tournaments, alumni reunions, donor receptions, scholarship events, and special celebrations
  • Oversee event setup, registration, vendor coordination, and on-site execution
  • Ensure events align with the school’s mission, branding, and strategic advancement goals

Sponsorships & Fundraising

  • Lead efforts to secure event sponsorships, including identifying prospects, outreach, and stewardship of sponsors
  • Develop sponsorship packages and benefits that align with fundraising goals
  • Track sponsors information for scoreboard, gym, etc. 
  • Maintain strong relationships with sponsors 
  • Collaborate with the Advancement team to support fundraising initiatives and donor engagement opportunities

Capital Campaign Support

  • Assist in the planning and execution of events tied to the school’s capital campaign
  • Support cultivation and stewardship events designed to engage major donors and campaign prospects
  • Work closely with leadership to ensure events advance campaign priorities and visibility

Budgeting & Financial Management

  • Develop detailed event budgets in advance for review and approval
  • Track expenses and revenue to ensure events remain within budget and meet financial goals
  • Assist in forecasting revenue from sponsorships, ticket sales, and donations

Communications & Outreach

  • Draft and manage event-related communications including invitations, sponsorship requests, and follow-up correspondence
  • Coordinate with internal teams to ensure consistent messaging and promotion of events
  • Track RSVPs and maintain accurate guest lists and contact records

Logistics & Vendor Management

  • Liaise with vendors, caterers, venues, and service providers to ensure seamless execution
  • Negotiate contracts and manage vendor relationships
  • Coordinate permits, insurance, and compliance as needed

Administrative & Reporting

  • Maintain detailed records of event plans, budgets, sponsorships, and outcomes
  • Evaluate event success and provide recommendations for improvement
  • Support the management of event calendars and timelines across departments

Qualifications

  • 2–5 years of event planning and/or sponsorship development experience, preferably in a nonprofit, school, or advancement setting
  • Strong organizational and project management skills with the ability to manage multiple events simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, Blackbaud, Give Smart and Canva
  • Ability to work evenings and weekends as required for events

Preferred Attributes

  • Experience with fundraising, sponsorship sales, or donor engagement
  • Familiarity with capital campaigns or large-scale fundraising initiatives
  • Strong relationship-building and negotiation skills
  • Creative, detail-oriented, and proactive
