About the Role
We are seeking a Sr. Executive Administrative Assistant to support the our federal client. The Sr. Executive Administrative Assistant will serve as professional administrative support to Senior Executives. All areas of responsibility require multi-tasking and interaction with internal and external executives and agency programs.
This role will report to work onsite at the client's location in Atlanta, Georgia. Work hours are 8:00 am to 4:30 pm.
Responsibilities
- Facilitate VIP visits for the Director and other Senior Executive Staff. Plan, schedule, ensure security clearance is processed prior to visit, escort visitors to appropriate meetings and/or events. Conduct visitor coordination for non-US Citizens by utilizing the NCAMS system to properly clear non-US visitors.
- Manage and secure space to accommodate meetings and events using agency's conference areas and internal resources to include minor logistics.
- Triage phone communication for the Senior Executive Staff.
- Prepare Senior Executive Staff reports, training requests and briefing materials while using information from emails and other sources for anticipated events, corresponding reference documents and notations on special issues. Ensures documents are in the proper agency format.
- Arrange and coordinate calendar scheduling, meetings, events, prepare itineraries for Senior Executive Staff. This role is required to ensure adequate and final agendas are distributed to external partners, stakeholders, and other representatives.
- Prepare and coordinate all domestic and international travel orders and other documents for Senior Executive Staff using agency's government travel system.
- Troubleshoot phone, computer, and other equipment issues.
- Collect and analyze data for special projects while working together with other agency sources in developing presentations, briefings materials, talking points, and award materials.
- Communicate as a liaison between Senior Executive Staff, other agency offices, national and international organizations to facilitate meeting and invitational requests. Information may consist of policy, procedure, correspondences, and other confidential and sensitive information. This role is required to be in compliance with Health and Human Services and agency guidelines.
- Serve as the liaison for the Business Operations and Management Team (BOM) for time and attendance (TASNET) and initiate VISA requests.
- Prepare monthly calendar reports for posting on the web; and update spreadsheet information on the workgroups.
- Prepare and submit monthly project summary reports, including accomplishments and deliverables/documents produced.
Requirements
Required Skills and Experience
- Prior experience working at federal agency such as the CDC required.
- Minimum of 5 years of C-Suite Experience
- Prior experience coordinating federal travel orders, including inputting and processing in the CONCUR travel system.
- Prior experience process time and attendance in the TASNet system.
- Prior experience assisting with preparing standard federal administrative documentation, such as small purchase requests, training requests, NCAMS requests, visitor requests, VISA requests, travel requests, leave requests, etc.
- Proficient in Microsoft Office Suites (Word, Excel, Outlook, PowerPoint and SharePoint).
- Excellent written and verbal communication and attention to detail.
- Ability to handle confidential information.
- Ability to obtain government clearance.
Education and Training
- Bachelor’s Degree plus 5 years of C-Suite Executive Assistance experience; 6–8 years of experience in lieu of Bachelor’s Degree may be considered.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer. May need to lift 25 pounds regularly.
