Roles & responsibilities:
FACILITIES ADMINISTRATION
Building Operations and Maintenance
•Reviews and recommends process and policies improvement based on the operations of the building
•Communicates with Building Admin for preventive maintenance schedule of equipment and any issues related to the facilities
•Ensure effective power management is implemented
•Ensure proper implementation of Building Rules and Regulations
•Ensure that proper periodic maintenance is conducted and that all facilities critical equipment are in good working condition
•Reviews and approves work permits
•Prepares scope of work, cost estimates, and specifications of maintenance and repair activities
•Assists in the preparation of budget and operating expenses
•Monitor usage of tools and equipment and their maintenance
•Oversee and management of the general admin services, office management and administration related tasks and activities
Building Security and Safety
•Act as the facility's Safety Officer and oversees that safety standards are observed
•Ensure a safe and secure working environment
•Manage Security personnel and implement standard operational procedures during Operations
•Prepare incident reports as needed and ensure that physical security controls are monitored, recorded, and in good working condition
•Active participation during Business Continuity Plan (BCP) drills and activities
Space Planning and Construction
•Work with and assist the Projects Management and Construction Team for any site reconfiguration and fit-out works
•Assist in the scheduling, estimating, materials procurement, vendor management, and site supervision
•Ensures that layout plans are compliance with the standard government laws and requirements
•Manage a workable plan and meet client and customer requirements
Compliance and Audit
•Work with the Compliance Team for audit and compliance related activities
•Ensure that all required permits and licenses of the site are regularly updated
•Conduct regular internal audit of the facility
•Prepares the site for internal and external audit activities
•Plan special projects and site improvements
•Submit report and artefacts request for regulatory/statutory requirements and audit activities
•Submit site accomplishment reports.
