WHAT YOU'LL DO
Own Executive Communications
- Manage and respond to email on behalf of the CEO and COO — with good judgment on what gets escalated, delegated, or handled.
- Draft high-level correspondence, internal announcements, partner communications, and executive team materials.
- Prepare briefing documents, talking points, and background materials before key meetings and engagements.
- Be the professional voice of the executive office in all written and verbal interactions.
Manage Calendars & Travel
- Own the calendars of both executives — strategically, not just logistically. Protect their time.
- Coordinate complex scheduling across internal leaders, external partners, and the executive team.
- Arrange executive travel: flights, hotels, ground transportation, and detailed itineraries.
- Anticipate conflicts, resolve them proactively, and keep executives on time and prepared.
Lead & Support Strategic Projects
- Take ownership of special projects assigned by the CEO and COO — build timelines, coordinate stakeholders, track milestones, and report progress.
- Conduct research and synthesize findings into clear, actionable summaries for executive decision-making.
- Prepare materials for executive team meetings, strategic planning sessions, and partner engagements.
- Monitor action items and commitments from executive meetings; make sure nothing falls through the cracks.
Facilitate Meetings & Leadership Alignment
- Plan and facilitate executive meetings — prepare agendas, capture decisions, and distribute follow-up.
- Ensure the CEO and COO are fully prepared for every engagement.
- Manage cross-departmental information flow and communication as directed.
Stakeholder & Relationship Management
- Build and maintain professional relationships with internal leaders, the HR Director, and external partners on behalf of the executive office.
- Represent the CEO and COO with professionalism and sound judgment in all interactions.
- Coordinate with Directors, Program Managers, and external stakeholders as a trusted proxy for leadership.
Handle Confidential & Sensitive Matters
- Manage sensitive personnel, financial, legal, and strategic information with absolute discretion.
- Assist with sensitive internal matters including HR actions, legal coordination, and other confidential executive matters as directed.
- Maintain organized, secure filing systems for executive-level records and correspondence.
Requirements
WHAT YOU BRING
- 3+ years as an Executive Assistant or in a senior support role to C-suite executives; we care more about what you can do than how long you’ve done it.
- You've managed executive email before — and you know how to draft a reply that sounds like your executive, not yourself.
- Experience supporting strategic projects, not just scheduling.
- Exceptional written communication — polished, professional, and precise.
- Strong business judgment; you can make the right call without being asked.
- High proficiency in Microsoft Office Suite; project management tools are a plus.
- Absolute discretion. This is non-negotiable.
- Calm under pressure; you don't rattle when priorities shift.
- Bachelor's degree required.
- Healthcare or behavioral health experience preferred; not required.
- Valid Driver's License / Clean Driving Record
