About the Role

Title: Patient Care Coordinator  

Location: Upper East Side; Brooklyn; Queens  

Org Unit: Front Desk Administration 

Work Days: Monday-Friday 

Weekly Hours: 35.00 

Exemption Status: Non-Exempt

Salary Range: $22.42 - $26.10  

*As required under NYC Human Rights Law Int 1208-2018 - Salary range for this role when Hired for NYC Offices 

Position Summary

Under direct supervision, provides clinical support to physicians including taking patient vitals, performing phlebotomy and facilitating patient flow through the office visit. This role also provides coverage for the front desk check-in and check-out functions.

Job Responsibilities

  • Initiates and prepares written correspondence as needed and based on functional needs.
  • Answers phones, responds to inquiries and triages calls to appropriate personnel.
  • Responsible for taking patient vitals and blood pressure.
  • Responsible for phlebotomy duties.
  • Coordinates the collection of samples/specimens and submission to labs.
  • Ensures cleanliness of exam rooms and sterilization of medical instruments.
  • Ensures the proper set up of instruments and equipment prior to patient visit.
  • Maintains medical-supply inventories and escalates supply requests.
  • Checks dated materials and medications for expiration and discards expired items. Performs checks on refrigerators and other equipment on a daily basis.
  • Enters clinical patient information into the electronic medical record system. Obtains diagnostic reports or hospital notes for the patients’ record. Generates after-visit summaries.
  • Oversees the charting process to ensure that information is updated completely and accurately.
  • Registers patients within the practice management system. Completes full registration for new patients and eligibility verification for all appointments/procedures. Resolves registration issues prior to patient appointment to ensure smooth check-in.
  • Confirms patient appointments.
  • Coordinates and schedules laboratory and diagnostic tests. Communicates with patients regarding ancillary testing appointments.
  • Verifies patient insurance eligibility and obtains necessary pre-authorization numbers, if required, prior to appointment date. Facilitates the communication and collection of any fees due from patient.
  • Responsible for front-end revenue cycle processes, which may include but is not limited to, the check-in/check-out of patients and collection/reconciliation of time-of-service payments,as applicable. May also discuss patient’s responsibility for payments

Education

  • High School Diploma

Experience

Prior experience in a patient-facing clinical setting and knowledge of medical terminology.

Completion of a medical assistant training course that includes phlebotomy training is highly desired.

Candidates with extensive medical assistant work experience, along with phlebotomy experience, may be considered.

If required to draw blood, proper phlebotomy training is required prior to performing those duties.

Knowledge, Skills and Abilities

  • Previous experience using computerized appointment scheduling systems (EPIC preferred) and/or electronic Medical Record (eMR) system (ideally EPIC-Care).
  • Knowledge of CPT, ICD-9, and ICD-10 coding.
  • Working knowledge of third party payor reimbursement - Medicare, Medicaid, Managed Care and commercial insurance.
