ACCOUNTABLE TO: Early Learning and Child Care Manager/Director of Early Learning and Child Care
Brief Overview:
The prime objective of the Early Learning and Child Care (ELCC) Family Supports Administrator is to assist the ELCC program coordinator to ensure family supports are delivered in an efficient and timely manner while performing these job duties:
- Administrating client services and program delivery for ELCC family support programs.
- Case management for accessing ELCC services.
- Provide overall operational/administrative administration of the programs.
- Coordinate project initiatives.
- Collaboratively work with MN–S staff, MN–S Citizens, and MN–S contractors as required.
Key Responsibilities:
- Effectively oversee the day-to-day management of assigned caseload.
- Assist clients with Early Learning programs and services, including case file management. This case management includes programs provided by the MN–S and programs offered by other levels of government and non-profit organizations.
- Support specific case load and monitor the life cycle of the caseload (initial application, approvals, payments, and annual reviews as necessary).
- Assist with new program development, implementation, coordination, and evaluation and regularly review current programs.
- Foster teamwork and co-operation.
- Use office software and hardware to communicate and collaborate with Métis Citizens, MN–S staff, and ELCC partners, including childcare providers.
- Assist in the coordination of the processing of financial administrative and operational procedures (i.e., purchase orders, expense claims, bill back submissions, and purchase card reconciliation).
- Participate in presentations about the various projects and the MN–S to key stakeholders at conferences, workshops, and in communities when directed.
- Gather project statistics as directed, establish, and maintain spreadsheets.
- Outreach and build relationships with stakeholders as required.
- Engage, develop, and maintain strong relationships with partners, including ELCC clients.
- Promote Métis culture.
- Maintain an effective, confidential, and accountable filing system.
- Other duties as assigned.
Knowledge, Skills and Abilities:
- Well-developed administrative, analytical, time management, and organizational skills
- Strong administrative skills, including financial and operational support, and proficiency with Microsoft Office and databases.
- Results-oriented skills and practices.
- Ability to work with a high level of tact and discretion.
- Strong knowledge and application of keyboarding, Microsoft Office suite, including Excel, and various databases.
- Strong knowledge of case management in a social services setting.
- Experience with standard office equipment.
- Work effectively both independently as well as in a team environment.
- A high degree of technology literacy and proficiency in standard office equipment.
- Advanced communications skills.
- Highly detail oriented.
- Ability to problem-solve, demonstrate good judgement, and make decisions independently within set processes and procedures.
- Experience working with Métis clients would be an asset.
Qualifications and Experience
- Office Administration education or equivalent post-secondary training, with experience in a social services environment or an administrative role within an Early Childhood / Early Learning program.
- Experience in case management and providing client or family supports within a social services, community-based, or program delivery setting.
- Experience supporting program delivery and coordination, including administrative processes, data tracking, and reporting.
- Experience working with Métis clients or Indigenous communities is considered an asset.
Additional requirements:
- Valid Saskatchewan driver’s license and access reliable transportation
- Must be willing to travel throughout the province and work extended hours as the program requires.
- Must undergo a Criminal Record Check with the Vulnerable Sector
