About the Role
Executive Assistant – Operations Support

Type: Full-Time Remote | Working Hours: U.S. Business Hours

About This Opportunity:

Join a growing business as their Executive Assistant – Operations Support and become the operational backbone that keeps leadership, onboarding, scheduling, and internal workflows running smoothly.

This is a fast-paced, high-ownership role for someone who is highly organized, proactive, detail-oriented, and excellent at follow-through. You’ll work directly with leadership while helping manage day-to-day operations, administrative coordination, onboarding support, scheduling, documentation, and workflow organization across the business.

We’re looking for someone who thrives in structured environments, communicates clearly, solves problems proactively, and takes pride in keeping operations organized and efficient.

What You’ll Do:

• Manage calendars, scheduling, meetings, and day-to-day executive coordination
• Support leadership with administrative tasks, operational follow-ups, and workflow organization
• Coordinate onboarding workflows and maintain organized operational processes
• Communicate with internal teams, clients, and stakeholders to ensure smooth execution
• Maintain clean, accurate, and organized documentation across systems and records
• Track operational updates, requests, deadlines, and ongoing workflows
• Organize digital files, shared systems, and internal records for easy accessibility
• Work across Google Workspace, Slack, CRM systems, and operational tools daily
• Ensure tasks, reminders, and follow-ups are completed accurately and on time
• Identify operational gaps, inconsistencies, or missed details before they become issues
• Support process improvements and help create more efficient workflows
• Assist with administrative coordination and operational support across departments

What You Bring:

• 3+ years experience as an Executive Assistant, Administrative Assistant, Operations Coordinator, or Virtual Assistant
• Strong experience supporting executives, teams, or operational workflows
• Excellent organizational skills with exceptional attention to detail
• Strong written and verbal English communication skills
• Experience managing calendars, scheduling, documentation, and administrative coordination
• High proficiency with Google Workspace, Slack, CRM systems, and online collaboration tools
• Ability to multitask, prioritize, and manage multiple responsibilities independently
• Proactive mindset with strong problem-solving and follow-through ability
• Comfortable working in fast-moving remote environments with minimal supervision
• Professional, reliable, and highly organized approach to work

Nice to Have:

• Experience supporting onboarding or operations-heavy workflows
• Experience working in startup or high-growth business environments
• Familiarity with operational documentation, SOPs, or workflow tracking systems
• Experience improving internal processes or administrative systems
