POSITION: Paralegal

FLSA: Exempt

DEPARTMENT: Corporate

POSITION SUMMARY

The paralegal assists with analyzing and summarizing documents, performing legal due diligence, proofreading legal documents to ensure accuracy and consistency, and efficiently collecting outstanding debts that were never paid. The ideal candidate will possess excellent organizational skills, strong communication ability, a good team player and a deep understanding of relevant legal processes.

 

GENERAL RESPONSIBILTIES

  • Initiate and manage the debt collection process for residents/tenants with outstanding balances.
  • Ensure all collection efforts adhere to applicable laws, regulations, and company policies.
  • Maintain accurate records of all communication, payment arrangements, and collection activities.
  • Communicate with residents/tenants to address outstanding debts, explain payment options, and negotiate settlements.
  • Investigate and resolve disputes or discrepancies related to outstanding debts, coordinating with property managers, tenants, and legal counsel as necessary.
  • Conduct legal research to support collection efforts and ensure compliance with relevant laws and regulations.
  • Prepare and file necessary legal paperwork, including complaints, liens, and other documents required for legal action.
  • Collaborate with property managers, attorneys, and other relevant parties to develop effective collection strategies.
  • Generate regular reports on collection activities, outstanding debts, and progress made toward debt recovery goals.
  • Keep up to date with changes in collection laws, regulations, and best practices, ensuring compliance and maximizing debt recovery efforts.
  • Knowledge of legal principles and practices related to the collection of debt.
  • Thorough knowledge of legal terminology, legal communication principles, and practices.
  • Proven experience in debt collection, preferably in a real estate management or property management setting.
  • Solid understanding of legal processes related to debt collection, including filing legal actions, liens, and relevant court procedures.
  • Exceptional verbal and written communication skills to negotiate effectively, communicate payment options, and resolve disputes.
  • Strong organizational abilities with the capacity to manage multiple cases simultaneously and maintain accurate records and documentation.
  • Keen attention to detail to ensure accuracy in legal documentation, communication, and data entry.
  • Ability to analyze complex financial data, identify discrepancies, and evaluate potential payment arrangements.
  • Proficient in using relevant software and tools, such as case management systems, document management systems, and Microsoft Office Suite.
  • Demonstrate ethical conduct and respect for confidentiality, handling sensitive information with discretion.
  • Display a professional demeanor, maintaining a respectful and diplomatic approach when dealing with residents/tenants.
  • Support the CFO by reviewing legal documents, affidavits, and other documentation.
  • Organizing and maintaining the legal and insurance files.
  • Helping prepare for mediations, trials, and depositions.
  • Responding to recovery requests.
  • Compiling information and keeping charts and summaries for legal cases.
  • Make sure all corporate filings are up to date and current.
  • Communicate with outside attorneys.
  • Participate in zoom calls, depositions, and mediation.
  • Keep cases organized by establishing and organizing files.
  • Assist with the handling of insurance claims.
  • Calendaring/Scheduling.
  • Maintains confidentiality regarding all matters.

WORKING CONDITIONS AND ENVIRONMENT

The individual in this role will maintain an office at YMP REM’s corporate headquarters. However, this position also requires frequent travel, by airplane and automobile, to visit all YMP REM’s properties to inspect individual tenant spaces, apartments, maintenance shops and storage areas, mechanical rooms and roofs.

The noise level in the work environment is usually moderate.

QUALIFICATIONS & EDUCATION

  • Minimum 5 years’ experience as a Paralegal.
  • Bachelor’s degree preferred, or equivalent work experience.
  • Possessing a valid paralegal certification or degree from an accredited institution is a plus.
