The Medical Assistant / Surgery Scheduler is an integral part of the clinical team at the Department of Breast Surgical Oncology at BASS Medical Group’s Comprehensive Cancer Center in Walnut Creek. This position will perform administrative and clinical duties related to breast surgical oncology in an outpatient setting and assist in some administrative duties. This individual works closely with the clinical staff, front desk personnel, MD and Director. This position reports to the Practice Manager of Breast Oncology and will have the following duties:


Essential Duties and Responsibilities


Clinical Support

· Room patients and obtain vital signs, height, weight, pain assessments, and other pertinent clinical information.

· Review and update medical histories, medications, allergies, and other health information in the electronic health record (EHR).

· Assist providers with breast examinations, biopsies, aspirations, and other office-based procedures.

· Perform blood collection and specimen handling in accordance with established protocols.

· Maintain exam room supplies and ensure adequate inventory levels. Ensure examination rooms are adequately stocked, organized, and prepared.


Surgical and Care Coordination

· Coordinate all aspects of preoperative and postoperative care, including surgical scheduling, diagnostic testing, laboratory work, imaging, medical clearances, and follow-up appointments.

· Provide patients and caregivers with surgical instructions and reinforce provider-directed education regarding treatment plans and recovery expectations.

· Serve as a liaison between patients, providers, and ancillary departments to support timely and coordinated care.


Patient Communication and Results Management

· Manage provider in-baskets, patient phone calls, and electronic communications, addressing routine inquiries within scope of practice and escalating clinical concerns appropriately.

· Track diagnostic tests, imaging studies, and pathology results to ensure timely review and follow-up by providers.

· Obtain and manage outside medical records, imaging, and reports necessary for patient care.


Documentation and Administrative Support

· Maintain accurate and timely documentation within the EHR, including patient information, orders, referrals, authorizations, and required forms.

· Schedule appointments, procedures, imaging studies, and other services necessary for patient care.

· Process disability, FMLA, and other patient-related documentation as assigned.


Quality, Safety, and Compliance

· Adhere to HIPAA, infection prevention, and organizational policies and procedures.

· Participate in quality improvement activities, departmental meetings, and ongoing professional development.

· Maintain required certifications and competencies while promoting a safe environment for patients, staff, and providers.


Mandatory qualifications:

· Excellent customer service/interpersonal skills

· Excellent verbal and written communication skills

· Comfort with interacting with the elderly and disabled

· Comfort with bodily fluids

· Strong computer skills

· Ability to multi-task in a fast-paced environment Electronic Health Records experience (EPIC)

· Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers.

· Excellent computer proficiency (MS Office – Word, Excel, and Outlook)

· Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service

· Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.


Strongly preferred qualifications:

  • Breast Surgery office experience
  • Surgery Scheduling
  • Medical terminology
  • Bilingual – Spanish
  • Blood Draw

Requirement:

· 2+ years’ experience as a Medical Assistant in an outpatient medical clinic

· 1+ Year experience as a surgery scheduler

· High school diploma or GED

· Hard worker who is enthusiastic 


Pay range - 27.00 - 38.00 based on experience
