About the Role

Description

Responsible for providing comprehensive administrative support to the finance department, including managing financial records, oversight of T&E system, preparing reports, coordinating meetings, handling correspondence, and performing general office duties, ensuring smooth day-to-day operations within the finance team. 


DUTIES AND RESPONSIBILITIES

• Assist with month-end close activities, including journal entries, reconciliations, accrual support, account analysis, and audit-ready support.

• Analyze financial performance, budget variances, and key operating drivers for PA facilities.

• Support budget creation, forecast updates, and recurring reporting packages for PA operations.

• Prepare and support weekly reporting deliverables, including weekly sales reporting, inter-company transfer tracking, and other management reporting needs.

• Assist with monthly physical inventory count processes, inventory reconciliations, and follow-up on variances or documentation needs.

• Own and maintain finance documentation, including the corporate filing cabinet / repository, data room organization, naming conventions, and document retention support.

• Administer and support the T&E reimbursement system, including employee questions, documentation review, policy follow-up, expense report support, and recurring system maintenance.

• Assist operations teams with CAPEX requests, supporting documentation, approval tracking, and follow-up items.

• Support accounts payable, invoice review, purchase order support, vendor documentation, coding follow-up, and related finance coordination needs as needed.

• Generate financial reports, presentations, meeting materials, agendas, minutes, and communications on behalf of the finance team as needed.

• Coordinate meetings, travel arrangements, expense tracking, and general administrative support for finance leadership and other members of the management team as needed.

• Support finance process improvements, including standardizing templates, documenting procedures, improving handoffs, and helping ensure compliance with company financial policies and procedures.

• Manage ad hoc projects as needed, including reporting clean-up, system/process improvements, capital tracking, and operational finance initiatives.

Requirements

REQUIRED EDUCATION, EXPERIENCE, AND SKILLS:


Educational Background

Preferred candidates will possess a bachelor’s degree in finance, accounting, business administration, or another business-related field. Candidates with strong relevant coursework, internship experience, or practical experience in finance, accounting, accounts payable, operations finance, or administrative finance support may also be considered.

Highly Preferred:

  • Blended accounting and finance background, including exposure to both transactional detail and financial reporting / analysis.
  • Strong coursework or experience in accounting, financial analysis, business analytics, operational finance, or administrative finance support.
  • Demonstrated ability to create organized documentation, follow through on details, and support recurring process deadlines.

Professional Experience

Preferred Experience Level

  • Open to recent graduates with strong internship, co-op, rotational program, or relevant coursework experience for the finance coordinator level role.
  • Also open to candidates with 1–3 years of corporate finance, accounting, accounts payable, audit, operations finance, or finance coordination experience for the analyst level role.

Ideal Experience Profile

The strongest candidates may bring one or more of the following:

  • Experience supporting month-end close, reconciliations, reporting, budgeting, forecasting, variance analysis, or financial presentations.
  • Exposure to AP, invoice processing, expense reimbursements, purchase orders, vendor documentation, data room management, or finance administration.
  • Ability to work with operational teams to gather information, organize support, and follow up on open items.
  • Experience in a rotational finance or leadership development program, public accounting, corporate accounting, FP&A, operations finance, or finance coordination role.
  • Comfort balancing analytical work with detailed coordination tasks, recurring deadlines, and process ownership.
