Our pediatric speech, occupational, and physical therapy center in Surprise, AZ is seeking a professional, reliable, organized, friendly, and adaptable Front Desk Receptionist to join our team. As the first point of contact for patients and visitors, this individual will play a vital role in creating a positive experience for every family who enters our clinic. Strong multitasking skills, attention to detail, follow-through, and the ability to manage multiple priorities with confidence are essential.
This position is responsible for providing exceptional customer service, managing daily administrative tasks efficiently, maintaining confidentiality, and supporting the smooth operation of the clinic. The successful candidate will embrace teamwork, accountability, and problem-solving while helping our therapists deliver high-quality care and outstanding service to the children and families we serve.
Responsibilities
- Greet clients, families, and visitors warmly, creating a positive and welcoming experience from the moment they enter the clinic.
- Answer incoming phone calls, respond to inquiries, schedule appointments, and provide exceptional customer service in a professional and compassionate manner.
- Manage clinician schedules and appointment calendars, including scheduling evaluations, treatment sessions, cancellations, and rescheduling requests.
- Review documentation for completeness and accuracy and assist with obtaining required intake forms, referrals, and other client records.
- Utilize electronic medical record (EMR) systems to manage scheduling, client information, and administrative tasks.
- Coordinate communication between families, therapists, physicians, and referral sources to support continuity of care and a positive client experience.
- Assist with clinic operations, special projects, and additional administrative duties to support efficient and effective service delivery.
- Collaborate with team members to uphold the company's mission, values, and commitment to exceptional care and customer service.
Requirements
- Previous experience in a healthcare, pediatric therapy, medical, dental, or customer service office setting preferred.
- Experience with electronic medical record (EMR) systems and scheduling software is highly desirable.
- Knowledge of insurance verification, authorizations, referrals, and healthcare administrative processes is a plus but training is availalbe.
- Ability to manage multiple priorities in a fast-paced environment while maintaining a positive, professional, and customer-focused demeanor.
- Strong problem-solving skills, initiative, and the ability to work independently while contributing as a collaborative team member.
- Proficiency with Microsoft Office, Google Workspace, and general office technology.
- High school diploma or equivalent required; coursework or certifications in healthcare administration, business administration, customer service, or related fields are a plus.
