Office of the Registrar - Deputy Manager (Student Records and Graduation)

[What the role is]
We are looking for a meticulous and motivated individual to manage student records (which include student’s status and particulars, and academic records such as diploma certificates and academic transcripts), and processes and systems relating to student data including deferment, withdrawal and dismissal. Additionally, this role will also be one of the key team members in planning, organising and executing the RP’s graduation ceremony.[What you will be working on]
• Manage processes relating to changes to non-academic and academic student records by ensuring that the processes are user-centric, adhere to guidelines and policies, and optimised via process improvements and use of suitable digitalisation tools.
• Ensure relevant processes are properly documented and kept up-to-date.
• Plan, organise and execute tasks (including procurement, event management and relevant processes, such as registration of graduands, seats and tickets management, on-stage proceedings and display of graduands’ name on screen) for RP’s graduation ceremony.
• Ensure that relevant systems are working according to business requirements, and provide business requirements for new systems or system enhancements and perform User Acceptance Tests (UATs) when required.
• Prepare data accurately for internal and external reporting in timely manner.

• Relevant experience in similar process-focused roles and system-related work, preferably in the education sector.
• High level of accuracy in data handling and reporting
• Strong critical thinking, analytical, planning, and organisational skills.
• Proficient in Microsoft Office, Microsoft 365 and digital/automation tools (e.g. SharePoint, Power Automate, RPA)
