Position Summary

The Office Services Support Assistant role is an integral part of our team providing support to all members of the firm.  The ideal candidate will be dependable and have a “can do” attitude.  This is a great opportunity to get to know the inner workings of a law firm, with much opportunity for professional growth.

General Duties and Responsibilities

  • Perform courier services, including filing and delivering legal documents to courts, government agencies, and other designated locations.
  • Complete administrative supply runs and maintain adequate inventory of office and kitchen supplies.
  • Deliver documents, packages, and materials to firm offices, client locations, and residences as needed.
  • Maintain the cleanliness, organization, and functionality of kitchen and breakroom areas.
  • Set up, maintain, and clean conference rooms before and after meetings and events.
  • Stock and organize office supply rooms and common areas to ensure adequate inventory.
  • Assist with the receipt, sorting, processing, and distribution of incoming and outgoing daily mail, courier deliveries, and packages.
  • Provide reception coverage during breaks, lunches, absences, or as otherwise needed by greeting visitors, answering and directing phone calls, and assisting guests.
  • Complete high-volume copying, scanning, printing, binding, and document production projects with accuracy and confidentiality.
  • Assist with organizing, filing, retrieving, and maintaining physical records and in-house filing systems.
  • Support office moves, furniture setups, meeting and event preparations, and other facility-related projects as assigned.
  • Maintain a professional appearance of common areas and promptly report maintenance or safety concerns.
  • Perform other office services, administrative, and operational duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • Valid California driver's license, reliable personal transportation, current automobile insurance, and a satisfactory driving record required for courier responsibilities.
  • Minimum of one (1) year of experience in office support, administrative, facilities, or customer service role preferred.
  • Proficiency in the operation of standard office equipment, including copiers, scanners, printers, postage equipment, and multi-line telephone systems.
  • Working knowledge of Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong organizational skills with the ability to manage multiple tasks, prioritize competing deadlines, and maintain attention to detail.
  • Excellent verbal and written communication skills with a professional and customer-focused demeanor.
  • Ability to work independently while collaborating effectively as part of a team.
  • Ability to frequently stand, walk, bend, reach, and lift or move materials weighing up to 30 pounds.
