What you’ll do
Office Administration: Manage day-to-day office operations to ensure smooth business functioning across multiple APAC offices, including vendor management and invoice processing.
Executive Support: Coordinate and maintain the Director’s calendar, appointments, meetings, and travel schedules, including domestic and international travel arrangements.
Procurement Coordination: Oversee purchase requisitions (PRs), purchase orders (POs), and invoice processing using Coupa and other ERP systems, ensuring compliance with company financial controls.
Vendor & Facilities Management: Liaise with vendors across countries (including Vietnam), manage office supplies, facilities maintenance, and service providers to support uninterrupted operations.
Document & Compliance Support: Assist with document signing for entities under legal oversight, maintain organized records, and support internal and external audits.
Collaboration & Communication: Build effective relationships across internal teams and external partners, supporting onboarding and promoting a professional office environment.
Travel Administration: Serve as the appointed Travel Administrator, ensuring compliance with corporate travel policies and managing travel bookings and itineraries.
Success Metrics: Success will be demonstrated by operational excellence, timely procurement and invoice processing, seamless executive support, and effective vendor coordination.
Travel Requirements: Occasional domestic and international travel coordination may be required.

What you’ll bring
Must-haves:
Diploma or Degree in Business Administration, Management, or related discipline with minimum 5 years’ experience in office administration or executive support.
Strong proficiency in Microsoft Office Suite and experience with ERP systems such as Coupa, SAP, or Oracle.
Excellent verbal and written communication skills in English; proficiency in Bahasa Malaysia preferred.
Strong planning, coordination, problem-solving skills, and ability to manage multiple priorities independently.
Nice-to-haves:
Experience supporting senior executives or leadership teams in a multinational or manufacturing environment.
Prior experience in procurement administration, invoice processing, and travel coordination.
Professional administrative or office management certifications.
Familiarity with travel booking systems and electronic document management systems.
