Position Overview

The Patient Access Representative is responsible for delivering an exceptional, concierge-level patient experience throughout every stage of care. This role serves as the primary point of contact for patients, managing all aspects of the patient journey—from warmly welcoming and registering patients to verifying insurance, coordinating care, scheduling services, and facilitating ongoing communication. The Patient Access Representative ensures a seamless, personalized experience by anticipating patient needs, coordinating with clinical and administrative teams, and providing proactive support to patients and their families. The ideal candidate is highly organized, service-oriented, and committed to delivering outstanding patient care and satisfaction.


Essential Functions

Provide exceptional customer service with a concierge-style approach to patients, families, providers, and team members through prompt responses, proactive communication, and professional interactions.

  • Serve as the primary point of contact for patients throughout their care journey, ensuring a seamless and personalized experience.
  • Verify insurance eligibility, benefits, and coverage to ensure accurate billing and treatment authorization.
  • Collect patient copayments, coinsurance, deductibles, and outstanding balances in accordance with practice policies.
  • Generate and communicate patient financial estimates and assist patients with understanding their financial responsibilities.
  • Schedule appointments, procedures, imaging, therapy services, and follow-up visits while coordinating care across multiple providers and services.
  • Assist patients with completing required forms and address questions related to insurance, billing, treatment plans, and office procedures.
  • Manage referral processes and obtain prior authorizations as required for services, procedures, imaging, and specialty care.
  • Maintain accurate and complete patient records by scanning and uploading documentation into the electronic medical record (EMR) system.
  • Collaborate closely with providers and clinical staff to ensure timely and efficient patient care coordination.
  • Maintain productivity, quality, and service standards established by the Pure Clinic Manager.
  • Support clinic operations by cross-training and providing coverage for team members as needed.
  • Ensure compliance with HIPAA, payer requirements, and organizational policies and procedures.
  • Identify opportunities to enhance the patient experience and contribute to a culture of service excellence.

Knowledge/Skills Abilities Required

• High School Diploma or GED required.

• 2 Years of medical office or customer service experience preferred.

• Excellent computer/10-key skills.

• Knowledge with Word and Excel systems.

• Excellent interpersonal communication skills and customer service skills.

• Ability to maintain quality control standards.

• Ability to meet deadlines.

• Knowledge of EHR system is a plus.
