Senior Payroll Specialist

The Senior Payroll Specialist is responsible for processing and oversight of payroll functions of the Company, including full cycle payroll processing; providing payroll support to other departments; maintaining the payroll database; supporting all payroll functions in accordance with payroll laws, regulations and company SOPs. The position has expertise in payroll law, payroll taxes, database administration, and human resources interactions with payroll.

Essential Responsibilities:

  • Process full cycle payroll for 2 separate legal entities with different payroll periods, reviewing for accuracy and generating appropriate reports for each cycle; process out of cycle manual checks for terminations, missed hours, etc.
  • Ensure compliance with all federal, state and local laws by working with outside payroll service provider on set up and maintenance of Company and employee specific topics; includes set up and maintenance of pay codes and deduction codes
  • Work with outside payroll service provider on complex payroll issues such as overtime and shift differential calculations, imputed earnings, taxability of benefits
  • Enter information in payroll program for employee direct deposits or other electronic forms of payment
  • Manage records and reports for paid time off, employee garnishments, fringe benefits
  • Answer employment verification requests
  • Set up annual pay period and pay date calendars
  • Set up annual holiday rules per HR holiday dates given
  • Establish pay calendars in payroll software; set up off cycle pay dates as needed
  • Assist in annual processing of W-2’s and fringe benefit payroll
  • Create support and payment requests for 401(k) remittances, and process end of transmit cycle reports and deliver them to the appropriate payroll partners
  • Create reports from payroll software, as needed to perform duties related to payroll transmit
  • Collaborate with other departments for payroll needs, process clarification, documentation requirements, system training
  • Maintain employee records and ensure documents are uploaded to ADP employee document cloud

Other Responsibilities:

  • Trains other payroll staff as needed
  • Maintain records, keep files current, ensure confidentiality of information
  • Assist in filing of unclaimed property as it relates to uncashed payroll checks
  • Update and maintain SOPs

Knowledge and Experience:

  • HS diploma required/ CPP Payroll Certification preferred 
  • At least 5-6 years of previous payroll processing experience
  • ADP WorkforceNow platform experience preferred
  • Quick problem solver
  • Ability to juggle multiple tasks simultaneously
  • Detail oriented but also able to step back and see the big picture
  • Ability to provide and implement recommendations for improving efficiency
  • Ability to communicate clearly both written and verbally
  • Strong self-starter initiative and ability to work independently as well as contribute to team
  • Proficiency in MS Excel with strong overall computer skills

Physical Requirements:

Ability to sit and focus for extended periods of time in front of a computer screen and/or while utilizing various office equipment (calculators, copy machines, etc.).
