About the Role

Description

Tanner Clinic has an immediate opening for a full-time Central Scheduling Representative located at our Kaysville Business Office. Schedule is Monday - Friday with hours between 7:30 am - 5:30 pm.  


Essential Job Responsibilities:

  1. Answer and make appointments for all incoming patient calls quickly and professionally, gathering enough information to schedule accurately.
  2. Be informed of the daily operations of approximately 100 physicians and their appointment preferences.
  3. Ensure proper handling of patient account alerts that may affect the patient’s visit to the clinic.
  4. Convey all necessary information pertinent to the appointment, i.e. insurance information, office location, date and time for appointment, instructions to bring reports or x-rays and any other description that may pertain to the appointment.
  5. Respond to last minute schedule changes for physicians.
  6. Make outbound scheduling calls as needed for Population Health Management or other reasons. 
  7. Where not covered by automated system, make appointment reminder calls as required.
  8. Work within the clinic’s EPM system and have a working knowledge of the EHR system.
  9. Maintain strict patient, computer, and company confidentiality.
  10. Maintain professional interaction with providers and all employees.
  11. Other duties as assigned.


Requirements

Education: High school diploma or equivalent.


Experience: Central scheduling representative experience preferred. Previous healthcare experience and/or familiarity with medical terminology helpful. 

                      


Other Requirements:

  • Possess proficient working knowledge of Microsoft Suite and other computer programs. 
  • Possess strong verbal communication skills.
  • Ability to maintain a professional demeanor during stressful or emergency situations.
  • Ability to demonstrate compassion, courtesy and respect to all patients and their families.



Performance Requirements:

Knowledge:

  1. Knowledge of medical terminology and organization services.
  2. Knowledge of individual responsibilities to accurately direct callers.
  3. Knowledge of laws and guidelines regarding medical records maintenance, confidentiality and release.


Skills:

  1. Ability to use multi-line phone system, including transferring calls and paging.
  2. Adequate hearing to answer phone and speak with patients.
  3. Ability to speak clearly and loudly enough to be heard by callers and patients.
  4. Possess pleasant and effective written, verbal and telephone communication skills.
  5. Basic computer skills.


Abilities:

  1. Elicits appropriate information to handle calls or route calls to the appropriate person.
  2. Prevents, calms, or defuses irate callers and patients by working with them to identify concerns and properly directs calls.
  3. Ability to maintain a professional demeanor during stressful situations.


Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.     


Work Environment: Position is in well-lighted office environment.


Mental/Physical Requirements: Involves sitting approximately 90 percent of the day, walking or standing the remainder.
