About the Role

Job Summary: 

Performs a variety of duties relating to the administration of the Retirement Plan for NEXCOM Navy exchanges and U.S. Coast Guard activities. 

Duties and Responsibilities: 

  • Reviews and processes enrollment applications for participation in the Retirement Plan for the Navy Exchange System NES and U.S. Coast Guard USCG activities. 
  • Maintains sound working relationship with insurance company representatives. 
  • Maintains liaison with Navy Exchanges and USCG activities to correct errors omissions trace missing applications and resolve any problems concerning enrollment procedures. Prepares correspondence and follow up until resolution.
  • Receives and files refusal cards for the Retirement Plan participation for NES and USCG activities. 
  • Counsels newly hired or newly eligible NEXCOM associates on eligibility to participate in the retirement plan. Ensures that associates receive counseling and that enrollment refusal cards are completed as specified by plan provisions. 
  • Determines portability on associates previously hired by other Non-appropriated Fund Instrumentalities and Appropriated Fund. 
  • Processes rehired associates' requests for reinstatement of prior retirement plan coverage. Research historical pension records for original certificate number. 
  • Processes changes in beneficiary and changes in name. Verifies information and examines forms for accuracy and completeness.
  • Processes discontinuances of active participation. Verifies that contributions have ceased and correct discrepancies through contact with associates and Navy Exchanges. 
  • Adjusts pension records to reflect transfers change of name etc. Informs insurance unit of change.
  • Audits retirement plans monthly reports for all overseas Navy Exchanges and USCG activities. 
  • Submits participants monthly contribution reports to Coast Guard activities for updating of contribution data. Also requests monthly reports for USCG activities. 
  • Assists in retirement plan projects which occur on an annual or more frequent basis such as the year end audit of all participants active and discontinued groups.

  • Ensures adequate supply of retirement forms applications are processed to field activities. 
  • Operates automated equipment in the performance of assigned duties. 
  • Performs other related duties as assigned


GENERAL EXPERIENCE: One 1 year of progressively responsible clerical administrative customer service or office support experience that demonstrated the ability to interpret and apply established policies and procedures maintain accurate records communicate effectively. 

AND SPECIALIZED EXPERIENCE: One 1 year of experience performing clerical or administrative duties involving employee benefits retirement personnel payroll insurance finance or other records management functions. Experience reviewing and verifying documents for accuracy maintaining confidential records resolving discrepancies applying established procedures and providing customer service related to employee benefits or administrative programs. 

OR SUBSTITUTION OF EDUCATION FOR EXPERIENCE: One year of academic study above the high school level may be substituted for nine months of experience up to a maximum of a four-year bachelor s degree for three years of general and specialized experience.
