About the Role

Description

Primary Objectives of the Position:

The purpose of this role is to provide administrative, customer service, accounting, and operational support for the BCA Products department, which manufactures and distributes ice melt, lawn and turf care, and specialty blended products. This position serves as a primary point of contact for customers, vendors, truck drivers, and internal staff while coordinating order processing, dispatch, billing, inventory transactions, production planning, and regulatory documentation. Working closely with operations and accounting personnel, the Office Assistant helps ensure accurate recordkeeping, efficient manufacturing and distribution processes, regulatory compliance, and exceptional customer service to support the department's daily operations.


Major Areas of Accountability:

  • Assist with walk-in customers, truckers, vendors, and incoming phone calls; Handle customer inquiries promptly via phone calls      and walk-in visits, providing excellent customer service.
  • Process and review accounts payable and inventory reports daily.
  • Receive and verify invoices and payment requisitions for goods and services.
  • Process customer orders – confirming receipt of order and all instructions for order with Account Manager.
  • Utilize accounting software to complete daily billing tasks accurately and efficiently, including inventory control, production      planning and creation of blending documents in AgVantage and Kahler systems.
  • Process delivery of products – dispatch BCA and contracted trucks.
  • Coordinate product deliveries by dispatching BCA and contracted trucks; process receiving, transfers, inventory adjustments,      and direct payments, including bank deposits.
  • Maintain the Master Production Schedule, assist with production planning, and order pallets, biosolids, and limestone.
  • Process licensing and regulatory permits, assist with label maintenance and compliance requirements, and perform month-end      tasks.
  • Organize and maintain filing systems and complete other administrative duties as required.
  • Provide clear office communications, written and verbal.
  • Protect cooperative’s value by keeping information confidential.
  • Other office duties as assigned.

Requirements

Basic Qualifications:

  • High school diploma or equivalent.
  • Must have strong mathematical skills and be detail oriented.
  • Requires basic knowledge of Microsoft Office applications.
  • Must possess excellent written and verbal communication skills.
  • Must be able to follow directions and be willing to learn.

Value-Added Qualifications:

  •  Cooperative experience and/or an agricultural background is desired.
  • One year or more accounting experience preferred but not required.
  • Knowledge of AgVantage accounting software is helpful.
  • Previous dispatch experience a plus.

Other:

  • Must be able to sit for extended periods of time; moderate walking and standing.
  • Must be able to perform all physical requirements of the position.
