Position Description: On-site Associate Community Manager III This position provides a broad range of administrative and staff support services related to property management and the association’s day-to-day business operations. Responsibilities include maintaining records and reports, supporting budget preparation, tracking operational and personnel-related changes, and assisting with general office functions. 


Key Responsibilities:


Operations & Administration

  • Oversee daily property operations, ensuring compliance with company standards, lease agreements, and housing regulations.
  • Prepare meeting packets, binders, spreadsheets, agendas, and supporting documentation for monthly Board of Directors and management meetings. 
  • Maintain accurate records of property activities, resident interactions, and compliance documents.
  • Develop and implement community policies, procedures, and schedules to ensure efficiency and accountability.

Resident Relations & Customer Service

  • Serve as the primary point of contact for homeowners, addressing inquiries, complaints, and service requests promptly and professionally.
  • Foster positive resident relationships through proactive communication, engagement initiatives, and high-quality service delivery.
  • Manage the leasing process, including renewals, resident move-ins, and move-outs.

Staff Leadership & Development

  • Support the day-to-day administration of the single-family home community association, including homeowner communications, vendor coordination, architectural review documentation, and community records management. 
  • Delegate tasks, set performance goals, and foster a collaborative, team-oriented work environment.
  • Ensure staff adhere to company policies, safety standards, and customer service expectations.

Maintenance & Vendor Management

  • Coordinate property maintenance schedules, preventive maintenance programs, and capital improvement projects.
  • Ensure the community is well-maintained, safe, and visually appealing at all times.
  • Manage relationships with vendors and contractors, reviewing contracts and ensuring quality performance.

Compliance & Risk Management

  • Ensure adherence to local, state, and federal housing laws and fair housing regulations.
  • Maintain compliance with company policies, audits, and reporting requirements
  • Monitor property safety programs and address potential risks proactively.

Knowledge, Skills & Abilities

  • Strong knowledge of property management operations, including leasing, budgeting, and maintenance coordination.
  • Excellent leadership and team management skills, with the ability to motivate and develop staff.
  • Strong financial acumen with experience in rent collection, expense control, and budget oversight.
  • Knowledge of housing laws, compliance standards, and fair housing regulations.
  • Proficiency with property management software, Microsoft Office Suite, and digital communication tools.
  • Strong problem-solving, decision-making, and conflict-resolution skills.
  • Exceptional interpersonal and communication abilities, with a focus on customer service.
  • Highly organized and detail-oriented, capable of managing multiple priorities in a fast-paced environment.

Qualifications

  • High school diploma or equivalent required; bachelor’s degree in business administration, Real Estate, or related field preferred.
  • 3–5  years of property management or real estate experience, including  supervisory responsibilities.
  • Valid property management certification (e.g., CAM, CPM, ARM) preferred but not required.
  • Experience with Yardi, AppFolio, or similar property management systems strongly preferred.
  • Ability to work on-site with a flexible schedule, including occasional evenings and weekends as needed.

The employee must be able to:

  • Stand and walk for extended periods throughout the workday. 
  • Frequently bend, stoop, kneel, crouch, climb, reach, twist, and squat. 
  • Frequently use hands and arms for grasping, handling, pushing, pulling, and operating equipment. 
  • Lift, carry, push, and pull up to 50 pounds on a regular basis. 
  • Safely operate cleaning equipment, hand tools, ladders, and maintenance equipment. 
  • Work both indoors and outdoors in varying environmental conditions. 
  • Maintain sufficient visual acuity and hearing to identify safety hazards and perform assigned duties safely
