Your day to day
- Manage the Director of HR's calendar, appointments, and meetings.
- Screen calls, emails, and correspondence, ensuring timely responses and appropriate follow-up.
- Monitor action plans and deadlines, following up with department heads on pending items.
- Coordinate executive visits, VIP meetings, and corporate inspections.
- Ensure information is communicated accurately and in a timely manner.
- Handle sensitive and confidential matters with discretion.
- Consolidate departmental reports and performance updates.
- Maintain filing systems for contracts, agreements, licenses, and executive correspondence.
- Maintain par stock and office inventories.
- Prepare HR department attendance and vacation requests.
- Assist in organizing employee relations events.
- Maintain general filing systems.
- Prepare files, reports, professional correspondence, and other relevant business documentation.
- Conduct monthly reports.
- Handle general inquiries.
- Arrange appointments, take meeting minutes, and circulate them to the appropriate personnel.
- Maintain confidentiality at all times on all matters.
- Access and use word-processing databases and software needed to complete business requirements.
- Book travel tickets for hotel expatriates whenever needed.
- Order all office supplies through the Jana application.
- Track and maintain a monthly recognition system.
- Be responsible for social media branding in cooperation with the Marketing Communications Department.
Qualifications:
- A Bachelor's degree in a relevant field.
- 1 year of experience in Human Resources or office administration is an asset.
- Fluency in English; experience in the hospitality industry is preferred.
- Strong oral and written communication skills, excellent organizational skills, and computer skills (Word, Excel, Outlook, and presentation programs).
- Active listening skills, creativity, and innovation.
