We are seeking a highly organized, proactive, and detail-oriented Office Administrator to support the day-to-day operations of our office while assisting with Human Resources, recruiting, and employee benefits administration. This role plays an important part in creating an organized, efficient, and welcoming workplace, ensuring employees have the resources they need to be successful.

The Office Administrator serves as a central point of coordination across the organization, supporting office operations, company culture, vendor relationships, facility management, and HR administration. The ideal candidate thrives in a fast-paced environment, enjoys variety in their work, has exceptional organizational skills, and takes pride in providing outstanding support to employees and leadership.

This position reports to the Chief Administrative Officer and works closely with leadership to support office operations and deliver an exceptional employee experience.

Requirements

Office Administration & Operations

· Manage the day-to-day operations of the office, ensuring a clean, organized, and professional work environment.

· Coordinate office vendors, supplies, equipment, and services to support business operations.

· Serve as the primary liaison with building management for office maintenance and day-to-day facility needs.

· Provide administrative support to the executive team as needed.

· Maintain office equipment inventory and coordinate purchases of supplies, and technology.

· Continuously identify opportunities to improve office processes and operational efficiency.


Employee Experience & Office Culture

· Coordinate employee perks and in-office programs, including weekly lunches, office snacks, and other workplace amenities.

· Organize company events, team activities, and employee engagement initiatives.

· Help foster a collaborative, welcoming, and engaging workplace culture.


Human Resources & Recruiting Support

· Demonstrates professionalism, discretion, and a positive, service-oriented attitude.

· Assist with administering employee benefit programs, including medical, dental, vision, and 401(k), and process employee benefit changes.

· Coordinate onboarding logistics for new hires and support offboarding processes.

· Support recruiting activities by coordinating job postings, scheduling interviews, assisting with job descriptions, and helping facilitate the hiring process.

· Track recruiting activity and maintain hiring metrics and reports.

· Initiate COBRA administration, assist employees with FAMLI claims, and respond to unemployment claims while maintaining confidentiality.


Technology & Equipment Coordination

· Coordinate with third-party IT providers to procure, configure, and deploy equipment for new employees.

· Manage laptop inventory and ensure sufficient backup equipment is available.

· Coordinate the return, reimaging, and secure disposal of obsolete technology.

· Purchase and maintain monitors, keyboards, and other office technology as needed.


Qualifications

· 2+ years of experience in office administration, office coordination, administrative support, or a related role.

· Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.

· Excellent verbal and written communication skills.

· Strong interpersonal skills with a customer-service mindset and a passion for creating a positive workplace experience.

· Comfortable working with Microsoft Office, and other business applications.

· Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

· Self-starter with strong problem-solving skills and attention to detail.

Pay range and compensation package 

· Salary range is $58,000 - $65,000 plus bonus opportunity.
