Responsibilities
AKUH is seeking an Associate Fellowship Coordinator to support the administration and coordination of Paediatric and subspecialty fellowship programs. The incumbent will work closely with Fellowship Program Directors, faculty, fellows, and the Postgraduate Medical Education (PGME) office to ensure the smooth functioning of academic and operational activities. The role includes coordinating educational sessions, examinations, workshops, and conferences; maintaining fellows’ training, evaluation, and certification records; monitoring compliance with CPSP and institutional requirements; and providing administrative support to faculty and fellowship programs to ensure excellence in postgraduate medical education.
Key responsibilities include:
Oversee and coordinate fellowship programs across multiple specialties, ensuring compliance with CPSP accreditation standards and requirements.
Liaise with the College of Physicians & Surgeons Pakistan (CPSP) regarding accreditation, supervisory records, examinations, and fellowship-related matters.
Plan and organize academic activities, including regular teaching sessions, workshops, TOACS examinations, and other educational events.
Coordinate with the Postgraduate Medical Education (PGME) Department on all fellowship-related initiatives and activities.
Maintain accurate and up-to-date records of fellows, including rotations, examinations, evaluations, licensure, and training documentation.
Manage and update fellows' and faculty evaluations through the designated online educational portals.
Administer day-to-day HR processes for fellows, FMOs, and faculty members, including attendance monitoring and leave management.
Manage nominations, registrations, and data records related to CPR and other mandatory training courses.
Facilitate travel arrangements and logistical support for faculty attending national and international conferences, workshops, and academic events.
Prepare and maintain dossiers for faculty appointments, promotions, credentialing, and re-credentialing processes.
Coordinate the timely renewal of PMDC licenses for fellows and assigned faculty members.
Draft official correspondence, reports, meeting minutes, and departmental documentation.
Monitor, evaluate, and continuously improve administrative and educational processes for paediatric fellowship programs.
Ensure accurate and timely communication of fellows' records and program-related information to Fellowship Directors and other stakeholders.
Prepare and circulate monthly educational and service rotas for fellows and subspecialty programs.
Coordinate special projects, academic events, and Ongoing Professional Practice Evaluation (OPPE) reporting for faculty members.
Provide comprehensive administrative support to ensure the smooth functioning of fellowship training programs and academic operations.
Requirements
You should have:
MBA/Masters in Arts/Masters in Science or any relevant degree.
At least 3-5 years’ experience in an administrative role including coordination of events and workshops.
Sound knowledge of resource management including financial management.
Ability to analyse budget variance reports and statistical data.
Strong supervisory, communication and interpersonal skills to lead a team.
Good negotiation skills with knowledge of operational planning, project management and marketing.
Capable of managing multiple tasks in a dynamic, fast-paced environment and perform under pressure.
Proven ability to coordinate teams effectively with strong leadership and supervisory skills.
Ability to work in teams to produce innovative solutions.
Positive attitude and ready to accept change.
Ability to work under pressure and meet deadlines.
Proficiency in Ms Office, particularly Word, Excel and PowerPoint, along with MS Teams, ZOOM, Google meet etc.
