Family Office Executive Assistant

Description
LJB CPA
Executive Assistant, Family Office
Full-time | On-site | Reports to Firm Leadership
About LJB CPA
At LJB CPA, our purpose is simple and serious: we exist to enhance lives. We do that for our clients, for one another, and for the communities we serve. We are guided by four values that show up in how we work every day — devotion to the people we serve, reliability in every commitment we make, authenticity in how we communicate, and curiosity that keeps us learning and improving.
Our family office work is where those values are felt most personally. We support principals and their broader financial world with the same care we would want for our own families — which means the person who helps keep it all organized matters a great deal.
The Role
We are looking for an Executive Assistant to provide high-leverage support to firm leadership within our family office practice. In this role, you remove administrative friction, protect leadership’s focus, and bring order and follow-through to a fast-moving calendar. You are the person who makes sure nothing falls through the cracks — so our leaders can spend their time inspiring clients, guiding the team, and advancing the firm’s impact.
This is a primarily business-focused role. The heart of your work is anticipating needs, staying two steps ahead, and creating calm, dependable structure around the people you support. If you take quiet pride in details done well and relationships handled with care, you will feel at home here.
What You’ll Do
- Own calendars, meetings, and travel so leadership can move through their days without friction.
- Prepare materials, agendas, notes, and follow-up items ahead of meetings and initiatives.
- Track action items to completion, keeping commitments visible and nothing waiting on you.
- Draft correspondence and internal communications with a professional, on-brand voice.
- Support leadership meetings, initiatives, and firm-level projects from behind the scenes.
- Maintain leadership files, records, and documentation so information is organized and easy to find.
- Serve as a trusted, discreet point of contact — handling sensitive information with confidentiality and judgment.
- Anticipate and improve the small systems and routines that keep leadership organized and on track.
What We’re Looking For
We care more about who you are than a specific number of years on a résumé. The right person will recognize themselves in the following:
- Exceptionally organized, with a natural instinct for follow-through and keeping details in order.
- Reliable to the core — when you own something, it gets done, on time, without reminders.
- Warm, authentic, and clear in written and verbal communication.
- Discreet and trustworthy with confidential and sensitive information.
- Proactive and curious — you look for better ways to do things rather than waiting to be asked.
- Calm and adaptable when priorities shift or the pace picks up.
- Comfortable with technology — calendar, email, and document tools — and quick to learn new systems.
Experience
Prior experience supporting executives, principals, or leadership is preferred, and any exposure to a professional services, financial, or family office setting is a plus. That said, we welcome candidates from a range of backgrounds who bring the character, judgment, and dependability the role requires. If you are early in your career but organized, driven, and eager to grow, we encourage you to apply.
Why LJB CPA
You will join a firm that genuinely believes in enhancing lives — and that extends to the people who work here. We invest in our team, celebrate one another, and hold a high standard because the people we serve deserve it. If you want your work to matter and to be surrounded by people who are devoted, reliable, authentic, and curious, we would love to meet you.
Devotion. Reliability. Authenticity. Curiosity. — It’s how we work, and how we care.
