HR Administration Specialist - 1 year contract

Warsaw, Poland (On-site)

 

Join us to do the best work of your career and make a profound social impact as a HR Administration Specialist on our HR Shared Services Employee LifeCycle Services Team. We are looking for a highly motivated individual to work from our Warsaw office five days a week. The ideal candidate should also be comfortable with traveling to our second site in Lodz or to our local vendor in Warsaw, as needed.

What you’ll achieve

As a HR Administration Specialist, you will be responsible for providing HR services support across multiple HR functions, including onboarding, time and attendance, leave management, letters administration, records management, medical support, offboarding, supporting payroll team and HR projects. You will work with team members and leaders, other HR team members, Payroll, TA, Facilities, Compensations & Benefits, and other teams on providing employee lifecycle HR services to our team members and leaders. 
 
You will:

 

  • Provide daily operational support for internal client group on record keeping, onboarding, off boarding, internal transfer, employment contract management (country specific), employee letters, employment certificates, visa support documentation, allowance changes and leave tool management. May also support country specific tools and systems.

  • Streamline and simplify end-to-end HR operations processes for optimal efficiency and effectiveness. Initiate and implement processes improvements. Establish a continuous improvement process, whereby performance translates directly into correction action plans and resulting improvements.

  • Oversee and manage a wide range of team members’ benefits administration/programs (i.e. medical/social benefits & claims, life and supplementary insurance, pension and allowances). Collaborate across HR functions and payroll to ensure accuracy of team members’ pay items.

  • Owner the records management for the entire employee population including both soft and hard copy. Partner with HR & other business functions. Participate and lead HR OPS projects for Poland. Act as a support to other employees within the team.

  • Analyse and evaluate data and reports, present findings and solutions to leadership.

 

Essential Requirements

 

  • University degree along with 2+ years of relevant experience.

  • Knowledge of local labor legislation.

  • Excellent communication skills in both Polish and English, with a strong customer orientation.

  • High attention to the detail, ability to work independently, and effectively organize daily priorities. Adaptable to the changes.

  • Proficiency in Microsoft Office package.

 

Desirable Requirements

 

  • Experience with similar HR systems (i.e. ServiceNow, OWC)
