We have a small HQ staff that where each member chips in to help each. You will be supporting the departments listed here. We are seeking an enthusiastic team member to roll their sleeves up and jump in to the tasks listed below.
Human Resources:
- Follow up and provide updates to supervisors on assigned tasks
- Manage @ HR destiny inbox daily
- Send offer letters to onboard new employees
- Send new hire packages to onboard new employees
- Weekly Audit of information in HR System
- Ensure all onboarding paperwork is completed
- Download all new hire paperwork into employee’s folders
- Send out new hire orientation video
- Follow up with new hires one week after start date to any questions and review policy one-pager
- Initiate monthly orientation call
- Submit insurance paperwork to broker
- Monthly review/audit of benefits bills for removal
- Submit insurance changes to broker & follow up to ensure they are completed
- Submit Aflac Interest sheets to representative
- Assist in following up with employee issues
- Maintain HOT Sheet and provide status’ as they are resolved or escalated, if needed
- Reviewing and approving leave requests
- Archive terminated/resigned electronic employee folders.
- Send offboarding paperwork to terminated employees
- Cancel terminated employee’s health insurance/Aflac/MetLife plan
- Update Employee handbook as needed
- Assist in the production and distribution of policy updates to all employees
- Manage employee start & anniversary dates
- Create expense reports
- Weekly set up of staff meeting
- Maintain monthly newsletter (via AI tool Perplexity)
- Piggyback on emails that include these tasks and move them forward
Recruiting:
- Maintain Security documents for each MTF
- Maintain Occupational Health documents for each MTF
- Compile SEC Documents from Candidates for submission
- Compile OCC Health Documents from Candidates for submission
- Compile Credentialing Documents from Candidates for submission (if needed) including prime source verifiction
- Submit SEC Documents from Candidates for submission to MTF
- Submit OCC Health Documents from Candidates for submission MTF
- Submit Credentialing Documents from Candidates for submission (if needed)
- Update Candidates Tracking sheet and report weekly in status meeting
Accounting: (per pay period)
- Manage Accounting destiny inbox daily
- Sending email of new hire email weekly
- Timesheet report review during payroll
- Reviewing and approving leave requests
- Updating the Internal Report each pay period
Requirements
Well qualified candidates will possess the following:
- Possess a Bachelors Degree
- Demonstrated experience providing administrative, operational, or program coordination support in a professional office environment.
- Strong proficiency in Microsoft Office Suite, especially Outlook, Excel, Word, and PowerPoint; Excel proficiency preferred.
- Strong organizational skills and attention to detail, with the ability to manage multiple
- assignments, shifting priorities, and deadlines.
- Excellent written and verbal communication skills and strong customer service orientation.
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience handling sensitive information with discretion and maintaining confidentiality.
- Ability to prepare clear status updates, meeting materials, and routine administrative reports.
- Demonstrated experience providing on-boarding and off-boarding employees and managing benefits.
