Strategic Support Coordinator
REPORTS TO: Chief Executive Officer
GENERAL FUNCTION:
The Strategic Support Coordinator serves as a key support partner to the CEO and the Office of the CEO, helping to strengthen executive effectiveness, Board engagement, organizational coordination, and external relationships.
This role blends executive support, Board relations, development support, community partnerships, project coordination, and relationship management. The position is designed for someone who is highly organized, relationship-oriented, proactive, and interested in growing their experience in fundraising, donor engagement, Board development, and community partnerships.
The role works closely with the CEO, Board members, senior leadership, donors, businesses, community leaders, and organizational partners to ensure strong communication, follow-through, and relationship stewardship.
KEY ROLES:
Executive Office & CEO Support
• Manage the CEO's calendar, meeting requests, travel, and scheduling priorities.
• Coordinate internal and external meetings, ensuring appropriate preparation and follow-up.
• Prepare agendas, presentations, reports, correspondence, briefing materials, and other executive communications.
• Monitor deadlines and ensure timely completion of CEO priorities and commitments.
• Help prioritize competing demands and recommend adjustments to maximize the CEO's effectiveness.
• Anticipate executive needs and proactively identify solutions.
• Attend meetings on behalf of the CEO when appropriate and document key discussions, action items, and follow-up needs.
Board Relations & Governance
• Serve as a key liaison between the CEO, Board of Directors, and Board committees.
• Build and maintain strong, professional relationships with Board members.
• Manage the Board portal/app, ensuring materials are current, accurate, and distributed on schedule.
• Coordinate Board and Executive Committee meetings, including logistics, agendas, meeting packets, presentations, and follow-up.
• Prepare and maintain official Board records, minutes, resolutions, and governance documentation.
• Coordinate Board orientation, onboarding, and ongoing Board communications.
• Maintain Board calendars, committee rosters, contact information, and governance records.
• Support Board committees and special initiatives as assigned.
• Help identify opportunities to strengthen Board engagement, communication, participation, and stewardship.
• Support Board members in their roles as ambassadors, advocates, community connectors, and organizational champions.
Development, Donor & Relationship Support
• Support the CEO and Development team in cultivating and stewarding relationships with donors, prospects, businesses, foundations, and community partners.
• Assist with donor meetings, cultivation activities, stewardship communications, special events, and relationship follow-up.
• Help prepare briefing materials, talking points, presentations, proposals, and other materials for donor and partner meetings.
• Maintain awareness of key donor and partner relationships and help ensure appropriate follow-up and engagement.
• Assist with identifying opportunities to deepen relationships and connect supporters to the organization’s mission and impact.
• Participate in donor and community meetings as appropriate.
• Support fundraising initiatives and campaigns through research, coordination, communication, and relationship management.
Community Partnerships & External Relations
• Support the CEO in strengthening strategic community relationships and partnerships.
• Coordinate meetings, introductions, site visits, presentations, and other engagement opportunities with external partners.
• Help identify opportunities for collaboration, sponsorship, volunteer engagement, and community investment.
• Serve as a professional and welcoming representative of the CEO and organization when interacting with external stakeholders.
• Ensure timely, professional, and consistent communication with key relationships.
Executive & Leadership Support
• Coordinate Senior Leadership Team meetings, Executive Team meetings, retreats, and planning sessions.
• Prepare meeting agendas, materials, presentations, and follow-up.
• Track action items and organizational priorities resulting from executive and leadership meetings.
• Assist in preparing presentations for Board meetings, donor meetings, community events, and strategic initiatives.
• Help coordinate cross-functional initiatives involving multiple departments.
Project & Event Coordination
• Lead planning and logistics for the annual Board Retreat and other Board-related events.
• Coordinate executive-level meetings, leadership retreats, donor engagements, and special organizational events.
• Manage special projects assigned by the CEO from planning through implementation.
• Coordinate cross-functional initiatives involving multiple departments and stakeholders. To include Volunteers of the organization.
• Ensure projects remain organized, deadlines are met, and responsibilities are clearly communicated.
Organizational & Team Support
• Support the CEO and senior leadership in creating systems, processes, and practices that improve organizational effectiveness.
• Assist with projects related to leadership development, organizational culture, and team effectiveness.
• Help coordinate initiatives designed to support employee engagement, professional development, and leadership growth.
• Where appropriate, provide coordination and support to administrative staff and help create consistency and efficiency across the Office of the CEO.
• Contribute to a collaborative, accountable, and service-oriented culture.
Office of the CEO Operations
• Develop systems and processes that improve efficiency within the Office of the CEO.
• Maintain organized records, calendars, contacts, correspondence, and other executive office information.
• Monitor follow-up commitments and ensure important items do not fall through the cracks.
• Anticipate needs, identify gaps, and bring forward solutions rather than simply identifying problems.
• Serve as a trusted partner to the CEO and a connector across the organization.
• Perform other duties and special projects as assigned.
QUALIFICATIONS/REQUIREMENTS:
• Highly organized, proactive, and able to manage multiple priorities.
• Strong written and verbal communication skills.
• Comfortable interacting with executives, Board members, donors, business leaders, and community partners.
• Demonstrates professionalism, discretion, sound judgment, and emotional intelligence.
• Interest in developing expertise in fundraising, donor cultivation, Board engagement, and community partnerships.
• Takes initiative and looks for ways to make systems and people more effective.
• Enjoys building and maintaining meaningful relationships and supporting the development of others.
• Able to move comfortably between administrative details and higher-level relationship and organizational work.
• Genuine interest in advancing the mission of the Boys & Girls Clubs of Broward County.
SUCCESS IN THE ROLE:
Success in this role will come from anticipating needs, building trust, creating strong relationships, ensuring follow-through, and helping the CEO and organization operate more effectively.
