What You’ll Do
The Office Administrator will handle office tasks like IT support, database management, meeting minutes, and website maintenance. They support board administration, coordinate facility repairs, manage advertising, engage with member-owners and support the Co-op’s mission and goals.
Office Administration:
- Take meeting minutes as directed
- Order office supplies
- Perform basic IT support
- Coordinate IT and facilities management
- Keep accurate records in customer and product databases
- Clean and organize areas throughout the Co-op.
Board Administration:
- Take meeting minutes as directed
- Work closely with the Board during Board election season to ensure member-owner engagement, participation, and Board communication
Customer Service:
- Ensure adequate supplies of printed materials
- Promote the co-op at events
- Track customer comments from website, comment box, phone calls, general Mariposa email account, and various online platforms; ensure timely responses
Member-Owner Services:
- Manage ownership database in the point-of-sale system
- Community outreach
- Run reports to locate purchases, equity payments, coupon redemptions, etc.
- Organize and participate in member-owner meetings
Advertising & Promotions:
- Assist with ensuring positive representation of the co-op to the media and the public
- Maintain the co-op website (membership info, donations, seasonal happenings, events, blog posts, etc.
- Participate in department meetings to plan promotions and in-store merchandising.
Communication & Collaboration:
- Collaborates with leadership from other departments.
- Partners with the bookkeeper to support accounts payable and receivable functions as required.
- Participates actively in meetings
Who We're Looking For
- At least 2 years of experience in office administration or a similar role
- Proficiency in Microsoft 365 (Word, Excel, PowerPoint)
- Basic IT support skills.
- Strong verbal and written communication skills
- Excellent organizational and time-management skills to handle multiple tasks and maintain accurate records
- Ability to coordinate services for office support and maintenance
- Some experience in advertising and promotions
- Excellent communication skills even during sensitive conversations and in public or group settings.
- Excellent customer service skills.
- Attention to detail needed to perform tasks accurately, efficiently, and punctually
- Available to work evenings, weekends, and holidays as needed.
