Reports directly to: The Controller and indirectly to other Corporate Officers/Managers.
Job Summary:
The Accounting Assistant coordinates activities and operations of accounting department and staff. They’re responsible for AR/AP, billing, payroll and for anticipating operational expenses. Provides support and recommendations to Controller to improve financial operations.
Education and Qualifications:
Bachelor’s degree in accounting or business-related field from an accredited college or university and four years of work experience in a management level position in an accounting department with 2 years’ experience in a supervisory position. Work experience may be substituted for academic studies exchanging one year of work experience in a related field for one year of academic education. Total work experience needed in lieu of the combination of education and work experience is eight years, with two of the years in a supervisory position. Must have a valid driver’s license and social security card issued by the U.S. Social Security Administration, and be a United States citizen, permanent resident, or other person lawfully admitted into the United States. Must pass federal background check.

Requirements
Job Responsibilities:
The Accounting Assistant shall assume the following job responsibilities:
- Implements, and monitors systems for general accounting.
- Reviews organization's accounting operation; establishes, develops, and/or recommends economic objectives and policies to management.
- Prepares financial and operational reports; prepares reports required by regulatory agencies (BOP), banks, and other parties as required.
- Coordinates preparation of corporate budgets and forecasts.
- Assists with monthly accounting close cycle; prepares month-end financial statement.
- Installs, modifies, documents, and coordinates implementation of accounting systems and accounting control procedures.
- Analyzes, reviews, and audits overall general ledger, accounts payable, and accounts receivable systems.
- Assists with preparation for yearend supporting workpapers for tax preparer.
- Keeps up to date on overall activities of the team, identifying problem areas and taking corrective actions when applicable.
- Works with Facility Directors and employees to process medical reimbursements and monthly billing and forward to the BOP by established deadline.
- Assist in processing payroll and other status changes not limited to processing new hires, termination status changes, tax changes, wage garnishments, deductions, and direct deposit. Payroll backup to HR.
- Assists with the review, verification, and processing of payroll data.
- Assists with the processing of manual checks as necessary.
- Assists with development of systems for accurate storage and maintenance of payroll records and files including but not limited to sick time and vacation and other accrued leave.
- Responds to all payroll-related inquiries including but not limited to payroll deductions and accruals, wage garnishments, child support payments, and employment verifications.
- Create and maintain payroll files.
- Be able to utilize mathematical functions for accurate accounting purposes.
- Coordinate facility and office supply ordering.
- Keeps up to date on overall activities of the team, identifying problem areas and taking corrective actions when applicable.
- Performs other related duties as assigned by management.
