We are looking for a detail-oriented and organised Billing Executive to manage day-to-day billing and invoicing activities within a pharmacy environment. The role will be responsible for ensuring accurate and timely billing of medicines, healthcare products, and related services while maintaining proper transaction records and supporting smooth pharmacy operations.
The ideal candidate should have hands-on experience with pharmacy billing processes, strong numerical accuracy, and the ability to handle customers and transactions efficiently in a fast-paced environment.
Key Responsibilities
- Process accurate and timely billing transactions for medicines, healthcare products, and pharmacy-related purchases.
- Generate and verify invoices, receipts, credit notes, and other billing documents.
- Enter prescription and product details accurately into the pharmacy billing or POS system.
- Verify product names, quantities, prices, discounts, taxes, and applicable billing information before completing transactions.
- Handle cash, card, UPI, digital payments, and other approved payment methods accurately.
- Maintain daily billing records, transaction reports, and payment documentation.
- Coordinate with pharmacists and pharmacy staff to clarify prescription, product, pricing, or billing-related information.
- Process product returns, cancellations, refunds, and billing adjustments in accordance with company policies.
- Identify and resolve billing discrepancies, duplicate transactions, pricing errors, and payment mismatches.
- Assist customers with billing-related queries and provide professional and courteous service.
- Ensure invoices and transaction records are properly maintained for reconciliation and audit purposes.
- Support daily cash reconciliation and coordinate with finance or accounts teams when required.
- Monitor billing-related issues and escalate unresolved discrepancies to the appropriate supervisor.
- Maintain confidentiality and accuracy when handling customer, prescription, and transaction information.
- Follow established pharmacy, billing, payment, and operational procedures.
- Support smooth counter operations during high-volume periods, weekends, and peak customer hours.
- Assist with maintaining accurate records required for pharmacy operations and financial reporting.
What Makes You a Great Fit
- 2+ years of experience in billing, invoicing, pharmacy billing, retail billing, healthcare operations, or a similar role.
- Hands-on experience with pharmacy billing and invoicing processes is strongly preferred.
- Good understanding of medicines, pharmacy products, prescriptions, and basic pharmacy terminology.
- Experience using pharmacy billing software, POS systems, ERP systems, or other billing applications.
- Strong numerical ability with excellent attention to detail and transaction accuracy.
- Good understanding of invoices, receipts, discounts, taxes, refunds, returns, and payment reconciliation.
- Comfortable handling cash, card payments, UPI, and other digital payment methods.
- Strong customer-service and communication skills.
- Ability to work efficiently in a fast-paced pharmacy or healthcare retail environment.
- Strong organisational skills with the ability to manage multiple billing transactions and priorities.
- Good problem-solving skills and the ability to identify and resolve billing discrepancies.
- Basic proficiency in MS Excel and computerised billing systems.
- Ability to maintain accurate documentation and follow standard operating procedures.
- Honest, reliable, responsible, and comfortable handling financial transactions.
- Ability to work collaboratively with pharmacists, pharmacy staff, finance teams, and customers.
- Willingness to work flexible hours based on pharmacy operational requirements.
