The Asset Management Specialist is a cross-functional role supporting the Collateral Audits, Collateral Protection, and Remarketing departments. This position serves as the primary point of contact for all inbound phone, email, and text communications across Collateral Audits and Collateral Protection during extended business hours, ensuring consistent coverage and a high standard of responsiveness for dealers, vendors, and internal partners. In addition to communications support, this role provides operational backup for the Collateral Protection function and executes essential administrative tasks for the Remarketing department.
Scheduled to work onsite from 10:00 AM–7:00 PM, this position is designed to extend the team’s operational reach and ensure reliable support for West Coast dealer partners and auction activity.
Key Responsibilities
Remarketing — Administrative Support
• Send out Notice of Sale Letters as Dealers are Defaulted
• Request titles to be pulled from vault and submit documentation to apply for repo titles.
• Conduct weekly follow-up on repo titles returned from the State and ensure timely processing.
• Complete FedEx shipments and ensure repo titles are properly signed off and routed to the appropriate auction partners.
• Update and maintain vehicle tracking information in AutoIMS, ensuring accuracy and completeness of auction inventory records.
• Reconcile auction sale proceeds and follow up with auctions on late or missing proceeds.
• Complete daily check requisitions for vendor invoices in accordance with departmental procedures.
Collateral Protection — Operational Support & PTO Coverage
• Validate incoming insurance policy documents from dealer partners for compliance with Kinetic Advantage’s collateral protection requirements.
• Communicate insurance and compliance requirements clearly to dealers, including those with limited familiarity with floorplan insurance processes.
• Assist with claims coordination, acting as the day-to-day liaison between Kinetic Advantage and the collateral protection business partner when providing coverage.
• Ensure timely delivery and follow-up on automated collateral protection enrollment notifications.
• Assume full Collateral Protection operational responsibilities during scheduled PTO or absences of the Collateral Protection & Claims Coordinator.
Collateral Audits — Operational Support & PTO Coverage
• Reconcile audit findings with loan management system records, identifying discrepancies such as sold-but-not-paid vehicles or missing units.
• Review, organize, and file documentation received from dealers via 12th Tech, phone, email, or text to support the timely reconciliation of outstanding audits.
• Document and report audit results accurately and in a timely manner, escalating exceptions or potential fraud indicators to management.
• Coordinate with field representatives and third-party auditors as needed to ensure thorough audit coverage.
• Respond to dealer and internal Kinetic inquiries regarding audit findings in a professional and timely manner.
• Assume full Collateral Audits operational responsibilities during scheduled PTO or absences of Collateral Audit Specialists.
Inbound Communications — Collateral Audits & Collateral Protection
• Serve as the primary point of contact for all inbound phone, email, and text communications for the Collateral Audits and Collateral Protection teams after 5:00 PM and during coverage periods as needed.
• Respond to dealer and vendor inquiries in a timely, professional, and solution-oriented manner, escalating to the appropriate team member when required.
• Document all communications and interactions accurately within Kinetic systems to maintain a complete and auditable record.
General Duties
• Maintain accurate and organized documentation across all Kinetic systems.
• Collaborate with internal teams including Collateral Audits, Collateral Protection, Remarketing, Collections, and Dealer Relations to support portfolio health and operational continuity.
• Adapt responsibilities fluidly as departmental needs shift, demonstrating flexibility across all three functional areas.
• Support team initiatives and perform other duties as assigned.
Qualifications Required
• High school diploma or equivalent required.
• One (1) or more years of experience in automotive lending, floorplan operations, dealer services, financial services, or a related field.
• Demonstrated ability to manage high volumes of inbound communications across multiple channels (phone, email, text) with professionalism and accuracy.
• Strong organizational skills with the ability to multitask, prioritize, and adapt in a fast-paced environment.
• Excellent written and verbal communication skills, including the ability to communicate compliance requirements to an inexperienced audience.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with AutoIMS, loan management, or dealer management systems a plus.
• Self-starter with the ability to work independently and exercise sound judgment with limited direction.
Preferred
• Familiarity with automotive titles, vehicle remarketing, repossession processes, or auction operations.
• Experience in collateral protection, commercial auto insurance, or floorplan compliance.
• Prior experience in a floater, multi-function, or cross-departmental support role.
