Shipping & Receiving Clerk

Description
The Shipping & Receiving Clerk is responsible for the accurate, timely, and safe movement of incoming and outgoing materials, parts, and products. This position receives and verifies inbound shipments, prepares and processes outbound shipments, maintains accurate shipping and receiving documentation, and ensures materials are delivered to the appropriate location within the facility.
The Shipping & Receiving Clerk works closely with Production, Service Parts, Purchasing, Customer Service, and other departments to support material flow and ensure internal and external customer requirements are met.

Essential Functions:
This position will perform the below listed duties consistently, accurately, timely, safely, and at the lowest feasible cost:
- Receive and unload incoming freight, parcel deliveries, and other shipments safely and efficiently.
- Inspect incoming shipments for quantity, condition, damage, and accuracy against packing slips, purchase orders, and other documentation.
- Report shortages, overages, damaged materials, or other discrepancies according to established procedures.
- Accurately receive materials and maintain shipping and receiving records in applicable company systems.
- Label, stage, organize, and deliver received materials to the appropriate storage location, department, or point of use.
- Pick, verify, package, label, and prepare service parts and other materials for shipment.
- Process outbound shipments using applicable carrier systems, including UPS and other freight/shipping systems.
- Prepare required shipping documentation, including packing slips, shipping labels, bills of lading, and related records.
- Verify outbound shipments for correct part numbers, quantities, addresses, packaging, and documentation before release.
- Take and maintain shipment photographs when required by company procedures.
- Assemble service parts kits according to engineering drawings, bills of material, work instructions, or other applicable documentation.
- Operate automated storage and retrieval equipment, including Remstar, to pick and put away materials.
- Assist Production and other departments with retrieving and distributing materials and supplies.
- Coordinate with truck drivers and freight carriers and direct inbound and outbound traffic to the appropriate shipping or receiving bay.
- Maintain accurate electronic and physical shipping and receiving records.
- Maintain Shipping & Receiving tools, equipment, workstations, and storage areas in good working condition.
- Maintain a clean, organized, and efficient work area in accordance with 5S standards.
- Follow all safety requirements and properly use required personal protective equipment.
- Identify opportunities to improve safety, quality, cost, delivery, and workflow within Shipping & Receiving.
- Communicate material shortages, shipment issues, damaged freight, documentation discrepancies, or other concerns promptly to the appropriate team members.
- Work cooperatively with other departments to meet production schedules and customer delivery requirements.
- Perform all other duties as assigned by the President.
Requirements
Minimum Qualifications:
- High school diploma or GED preferred. Previous shipping, receiving, warehouse, material handling, manufacturing, or related experience is preferred but not required.
- Experience with shipping software, ERP/accounting systems, inventory systems, or warehouse management systems is beneficial.
- Knowledge of manufacturing operations and XLT products is preferred but may be developed through training.
- Basic computer, email, and web skills are required. The employee must be able to learn and accurately use company systems associated with receiving, inventory, shipping, documentation, and order processing.
- Experience with Microsoft Office, Sage 50, UPS WorldShip, or similar systems is preferred.

Physical Requirements:
- Ability to lift up to 50 pounds
- Ability to stand, walk, and use hands for up to 10 hours per day
- Ability to climb, balance, stoop, kneel, crouch, and crawl as needed
