Position Summary

Sound Income Strategies, a federally registered investment advisory firm with more than $4.5 billion in assets under management, is seeking a highly accurate and detail-oriented Fee Billing & Advisor Compensation Analyst to join our Accounting team.


This role supports the full advisory fee billing and compensation cycle, including calculation, processing, reconciliation, collection, and distribution. Working across Accounting, Operations, Compliance, advisors, custodians, and third-party vendors, this individual will provide front-end and back-end support while ensuring fee activity is completed accurately and on time.


The ideal candidate brings RIA or financial services experience, advanced Excel skills, exceptional attention to detail, and the ability to independently manage high-volume, deadline-driven processes.


Key Responsibilities

Front-End Fee Billing & Advisor Support

  • Serve as the primary subject-matter expert for advisor fee-billing and compensation inquiries, including statement and payout explanations, fee adjustments, rebates, billing corrections, and system-access issues.
  • Enter and maintain ~400-600 fee records per month for new and existing business, ensuring complete and accurate setup within established timelines.
  • Establish and maintain fee codes and billing configurations in Black Diamond, including production-threshold changes and related fee or payout adjustments.
  • Coordinate with Compliance to obtain and retain required refund waivers, approvals, and supporting documentation.
  • Maintain the fee-billing queue and related dashboards in Salesforce, ensuring requests, changes, escalations, and resolutions are accurately documented and completed.
  • Review account and contractual documentation for completeness and accuracy and partner with advisors or internal teams when corrections or amendments are required.

Back-End Billing, Compensation & Accounting Support

  • Execute the monthly billing cycle, with concentrated billing activity during the first 15 days of each month, including pulling billing data from Black Diamond and creating the final billing snapshot used to debit advisory fees from client accounts.
  • Coordinate with custodians, banking platforms, and third-party vendors to process and collect monthly and quarterly advisory fees accurately and on schedule.
  • Prepare advisor payout and compensation spreadsheets, monitor the exceptions log, research discrepancies, and ensure accurate fee distribution.
  • Prepare and post advisor compensation statements and supporting reports in Dropbox, resolving access or statement issues as needed.
  • Record billing and compensation activity in QuickBooks Desktop and support ACH processing through Bank of America's CashPro platform.
  • Process fee reimbursements, rebates, and other adjustments, ensuring appropriate approvals, documentation, and audit trails are maintained.
  • Perform reconciliations and checks and balances to confirm complete and accurate fee collection, payout, and financial reporting; identify and resolve missed billing or other variances.
  • Support collections and maintain complete process documentation, calculation support, billing changes, and audit records.

Revenue Analysis, Reporting & Process Improvement

  • Analyze current and historical revenue, profitability, trends, and variances; translate findings into clear reporting for the Controller and senior management.
  • Build, maintain, and produce recurring and ad hoc reports, roll-up statements, reconciliations, and financial analyses that support business decisions.
  • Partner directly with the Controller and cross-functional stakeholders to research exceptions, resolve complex billing issues, and meet monthly deliverable deadlines.
  • Evaluate, document, and improve billing and compensation workflows, controls, dashboards, and system usage to increase accuracy and efficiency.
  • Provide training and knowledge-sharing related to billing processes, systems, and controls, and support additional accounting or operations projects outside active billing cycles.

Requirements

  

Required Qualifications

  • Bachelor's degree in Accounting, Finance, Business, Economics, STEM, or a closely related field.
  • Minimum 5 years of experience in financial services operations, billing, reconciliation, or a related function.
  • Advanced proficiency in Microsoft Excel and the ability to work accurately with large volumes of financial data.
  • Demonstrated experience performing reconciliations, identifying discrepancies, and maintaining accurate financial records.
  • Exceptional attention to detail and a high degree of accuracy when working with numbers and financial information.
  • Strong organizational and time-management skills with the ability to manage recurring deadlines and multiple priorities.
  • Strong analytical and problem-solving skills with the ability to research and resolve discrepancies independently.
  • Effective written and verbal communication skills with the ability to collaborate across teams and with external business partners.
  • Ability to maintain confidentiality and exercise appropriate discretion when working with sensitive financial and client information.

Preferred Qualifications

  • RIA billing experience, including calculating and maintaining advisory fee schedules, invoicing, processing, collection, reconciliation, and/or fee disbursement.
  • Experience working with custodians, third-party billing platforms, or reconciliation software.
  • Familiarity with advisory fee structures, client account billing, and financial services operations.

Physical & Work Environment Requirements

  • This is a full-time, onsite position based in Fort Lauderdale, Florida.
  • Ability to work for extended periods at a desk using a computer.
  • Ability to lift up to 10 pounds if/when necessary.
  • Routine use of telephone and email.
