About the Role

The Opportunity

Williams Parker, the region’s largest and oldest law firm, is seeking an experienced Probate & Trust Administration Paralegal to join its established Trusts & Estates practice in Sarasota, Florida.

This role offers the opportunity to manage sophisticated probate and trust administration matters alongside experienced attorneys serving individuals, families, beneficiaries, and fiduciaries. The ideal candidate will bring substantive probate experience, strong project-management and accounting capabilities, and the judgment and attention to detail required to guide complex matters from initial administration through final distribution.

What You Will Do

  • Manage probate and trust administration matters. Prepare and file petitions, motions, notices, letters of administration, inventories, accountings, and other documents required throughout estate and trust administration.
  • Coordinate estate assets and financial activity. Assist with estate and trust accounts, asset collection, transfers, distributions, property liquidation, life insurance claims, death benefits, and related financial documentation.
  • Support beneficiaries and fiduciaries. Communicate professionally with personal representatives, trustees, beneficiaries, next of kin, financial institutions, and other participants, providing timely updates and coordinating required information and documentation.
  • Maintain deadlines, records, and court compliance. administrative deadlines, organize matter records, and ensure filings and supporting materials are accurate, complete, and timely.
  • Provide substantive legal support. Research Florida probate law and local court rules, prepare correspondence and mailings, and assist attorneys in resolving procedural, administrative, and financial issues throughout each matter.

What You Will Bring

  • Substantive probate and trust administration experience. Prior paralegal experience supporting complex estate and trust administration matters in a law firm or substantially similar professional environment.
  • Strong technical and financial capabilities. Experience with probate documentation, estate or trust accountings, asset administration, and related financial records. Familiarity with EstateWorks, HotDocs, BNA 706 tax preparation, iManage, and Microsoft Office is preferred.
  • Exceptional organization and project management. The ability to manage a high volume of detailed matters, competing priorities, court deadlines, financial information, and follow-up responsibilities with accuracy and consistency.
  • Sound judgment and client-service orientation. Professional maturity, discretion, emotional intelligence, and the ability to communicate thoughtfully with clients, beneficiaries, fiduciaries, attorneys, and other professionals during matters that may be both technically complex and personally sensitive.
  • Collaboration and disciplined execution. A responsive and adaptable working style, strong written and verbal communication skills, careful listening, initiative, and reliable follow-through.
  • Professional credentials. Florida Registered Paralegal or Certified Legal Assistant designation is preferred.
