POSITION SUMMARY:
The Clinic Supervisor is responsible for the operational, clinical supervisory, and regulatory leadership of Kelberman’s clinical services. This role ensures efficient practice operations, sustainable clinical productivity, regulatory compliance, and exceptional patient experience. The Clinic Supervisor partners closely with clinical leadership to optimize productivity, manage patient registration, scheduling and insurance verifications, establish and monitor Key Performance Indicators (KPIs), and ensure compliance with OPWDD Article 16 regulations and relevant NYSED laws, rules, and regulations. Additionally, this position serves the clinic through supporting a manageable caseload in their clinical discipline.
ESSENTIAL RESPONSIBILITIES:
Role responsibilities include but are not limited to the following:
Strategic & Operational Leadership
- Provide overall operational oversight of clinic workflows, scheduling, and patient flow.
- Establish, monitor, and adjust productivity benchmarks and KPIs.
- Lead workflow optimization initiatives to improve efficiency and access.
- Ensure effective coordination between administrative and clinical teams.
- Develop and implement process improvement initiatives.
- Manage provider scheduling and access management for behavioral health services.
- Monitor patient access metrics and appointment availability standards.
- Supports quality improvement initiatives tied to behavioral-health performance indicators.
- Resolve patient concerns professionally and empathetically.
- Promote a collaborative, mission-driven, patient-centered culture.
Financial & Revenue Cycle Management
- Oversee insurance verification, prior authorizations, and scheduling
- Monitor visit closure and ensure all encounters are documented accurately.
- Tracks productivity metrics across multiple provider disciplines.
Regulatory & Compliance Accountability
- Ensure compliance with NYS OPWDD Article 16 regulations and relevant NYSED laws, rules, and regulations.
- Oversee EHR documentation standards.
- Support audits, surveys, and regulatory reviews.
- In collaboration with clinical leadership, ensure policies and procedures are operationalized consistently.
- Supports behavioral-health quality measures, reporting requirements, and compliance initiatives
Clinical
- Support a manageable caseload of clients, and their families, to include individuals and/or groups of individuals with Autism and/or an Intellectual/Developmental Disability, who present with comorbid social-emotional and/or behavioral support needs.
- Engage in evidence-based assessment and treatment practices.
- Supervise clinical staff members (e.g., LMSWs) and student interns.
- Triage referrals and clinic inquiries to assist individuals and families with identifying appropriate care and resources.
- Collaborate and provide training with families, caregivers, and other professionals and participate in Kelberman community-based activities and events.
Leadership & Talent Management
- Recruit, train, mentor, and evaluate team members.
- Approve timecards, PTO, and oversee performance management processes.
General
- Contribute to a positive work environment through collaborative teamwork and positive communication in alignment with Kelberman’s culture, values and mission.
- Demonstrate excellent work attendance by being punctual and reliable for all scheduled shifts and meetings.
- Ensure compliance with all pertinent government and agency regulations and operating standards.
- Other duties as assigned.
Requirements
EDUCATIONAL REQUIREMENTS/QUALIFICATIONS/EXPERIENCE:
- Master’s degree in Psychology, Social Work, Mental Health Counseling or related field, with 3 years of related experience.
- Valid NY State professional license in field of discipline (e.g., LCSW, Licensed Psychologist)
- Experience with behavioral-health practice management and familiarity with Medicaid managed care and medical billing requirements
- Knowledge of basic computer skills
- Travel and transport for meetings may be required. Must have a valid NYS Driver’s License and require reliable transportation.
- This position has regular and substantial unsupervised or unrestricted physical contact with individuals receiving services and is required by law to be fingerprinted for a criminal history record check under OPWDD (Office for People with Developmental Disabilities) and/or OCFS (Office of Child and Family Services).
An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.
