Job Description

Join a dynamic and diverse role where no two days are the same. As our Office & Fleet Manager, you will be at the heart of our operations, ensuring our offices, people and fleet are supported to perform at their best.

Reporting to the CFO Australia, you will oversee office operations across Melbourne, Brisbane and Toowoomba, while managing a national fleet of more than 200 vehicles. From coordinating travel and accommodation, managing employee housing and workplace events, to overseeing fleet operations and vendor relationships, this role offers a unique blend of operational, administrative and people-focused responsibilities.

We're looking for a hands-on professional with experience in fleet management, vehicle allocation or transport coordination who enjoys variety and thrives in a fast-paced environment. You'll be highly organised, service-oriented and confident building relationships with stakeholders at all levels.

Key Responsibilities

  • Manage the day-to-day operation and administration of LDC's fleet of 200+ vehicles, including vehicle ordering, allocation, lease management, maintenance scheduling, insurance claims and fleet reporting.
  • Coordinate travel, accommodation and vehicle bookings for employees nationwide while ensuring cost-effective and compliant outcomes.
  • Oversee reception, office administration, facilities management and workplace services to support the smooth running of the Melbourne office.
  • Manage employee accommodation leases, landlord relationships and associated administration across regional locations.
  • Maintain accurate records, reporting and documentation across fleet, travel, accommodation and office management activities.
  • Provide support and guidance to the Office and Administration Assistant and collaborate with administrative teams nationally.

Essential skills and experience:

  • Previous experience in fleet control, fleet allocation, transport coordination or fleet administration is essential.
  • Demonstrated experience coordinating vehicles, allocating drivers and managing the day-to-day operations of a busy fleet environment.
  • Strong administrative, customer service and stakeholder management experience.
  • Excellent organisational skills with the ability to manage multiple priorities and meet deadlines.
  • High attention to detail and strong data management capabilities.
  • Strong verbal and written communication skills with the ability to build effective working relationships.
  • Proven ability to work independently, solve problems and manage competing demands.
  • Experience coordinating travel, accommodation and facilities management activities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Experience managing suppliers, service providers and external stakeholders.
  • Proficiency in Microsoft Office Suite.
  • Experience with fleet leasing providers, accommodation lease administration and invoice processing will be highly regarded.

Qualifications

Essential

  • Minimum 2 years' experience in an office-based administrative, fleet coordination, fleet control or transport allocation environment.
  • Intermediate to advanced proficiency in Microsoft Office Suite.

Desirable

  • Certificate in Office Administration or similar qualification.
  • Previous experience within fleet management, logistics, transport or operations environments.
  • Experience working with travel management providers and accommodation bookings.
  • Knowledge of motor vehicle leasing arrangements and fleet processes.
  • Familiarity with residential lease administration and property management practices.
