JOB MISSION
Pacific Lifestyle Homes, a leading new home builder in the Pacific Northwest, is seeking a highly organized and resourceful Executive Assistant to support the Boise Division President in achieving the company mission. As part of our newest location, this full-time position offers a unique opportunity to take on a broad range of responsibilities, providing administrative support, office management, event support, recruiting and new employee onboarding support, IT issue coordination, sales and marketing support, and construction support. Key responsibilities include assisting the Boise Division President with strategic plan implementation and team performance management. The successful candidate will be proactive, detail-oriented, and committed to delivering exceptional support that contributes to the growth and success of our Boise office.

WORK ENVIRONMENT
Pacific Lifestyle Homes is an in-person workplace with a typical schedule of Monday through Friday, 8:00 a.m. to 5:00 p.m., including a daily in-office morning huddle beginning at 8:00 a.m.
This role operates in a fast-paced environment where flexibility and occasional extended hours may be needed to support business priorities and customer commitments.

Requirements
JOB RESPONSIBILITIES
- Administrative Support: Schedule meetings and put together agendas. Print and notarize documents; maintain licensing with DOL/NWMLS. Provide updates and support for Strategic Planning. Assist the Boise Division President with staying on track with schedule and personal errands as needed. Make follow-up calls on his behalf. Assist with implementation of the strategic plan. Produce agendas for Staff Meetings, Leadership Team Meetings, and other meetings as needed.
- I.T. Management: Serve as the Boise office's first point of contact for employee IT issues, coordinating with PLH's Vancouver IT team and outside vendor support to resolve day-to-day technical needs. Manage the local Comcast business account and services.
- Office Management/Maintenance: Manage office operations (HVAC, landscaping, mechanical, security, parking lot, trash, janitorial, etc.). Serve as the primary point of contact at the front desk, greeting visitors and handling incoming calls. Coordinate company events. Maintain a professional office environment, office supply inventory, and ordering.
- General HR: Partner with the Vancouver HR team to support Boise-based hiring and onboarding, including assisting with interview scheduling and coordination, and assembling new employee onboarding materials.
- Accounting: Prepare Settlement Agreements, complete Vendor Setup for non-subcontractors, process invoice approvals and check requests.
- Sales and Marketing Support: Provide assistance to sales and marketing by helping with event planning, updating open house data in NWMLS, putting together sales training and spec materials, purchasing supplies for model homes and assisting with other admin needs.
- Construction Support: Assist the Construction Manager with data input, tracking POs, approving invoices, and other administrative needs.
- General Support: Provide other office administrative assistance as required.
JOB REQUIREMENTS
- 3-5 years of administrative or executive support experience, ideally supporting senior leadership.
- Proven ability to manage competing priorities and shifting deadlines with sound judgment and composure.
- Strong interpersonal and customer service skills, with the ability to build trust and rapport across all levels of the organization.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and quick to learn new scheduling and collaboration tools.
- Excellent written and verbal communication skills.
- High degree of discretion and confidentiality in handling sensitive information.
- Strong organizational skills and attention to detail.
- High School Diploma required; Associate's degree preferred.
