As we open our new Texas plant, we are seeking an Engineering Administrative Assistant to support our Engineering team and help establish the systems, processes, and documentation that drive operational success.

This is a unique opportunity for a highly organized and detail-oriented professional who enjoys working across multiple departments, coordinating projects, managing technical documentation, and supporting both internal teams and external customers. As one of the early members of our Texas operation, this role will help build the administrative foundation that supports Engineering, Production, Sales, Supply Chain, and Operations.

FIDELITY MANUFACTURING is part of the Backup Power Generation industry. We design and build backup power packages, including tanks and enclosures, for healthcare, industrial, and technology-driven customers that require uninterrupted power at all times. Job Summary


The Engineering Administrative Assistant provides administrative, documentation, and project coordination support for the Engineering department while serving as a key link between Engineering, Production, Sales, Supply Chain, and customers. This role supports engineering, production, and sales operations by maintaining accurate documentation, coordinating project information, supporting engineering schedules, managing Bills of Material, and ensuring critical data is communicated effectively throughout the organization.


The ideal candidate will possess strong organizational and communication skills, exceptional attention to detail, and the ability to manage multiple projects in a fast-paced manufacturing environment. Experience supporting engineering or technical teams in a manufacturing environment is highly desirable.


As the Texas facility continues to expand, this position will play a critical role in supporting process development, documentation consistency, and operational efficiency across the organization.


Essential Job Functions


Engineering Administration & Documentation


Serve as a liaison between engineers, designers, production personnel, suppliers, and customers to gather and communicate project information.

Assist with collection and organization of product requirements, specifications, and engineering documentation.

Maintain engineering records, drawings, revisions, schedules, and project files.

Ensure consistency and accuracy of engineering documentation, part drawings, and technical records.

Create, update, and maintain project documentation and departmental records.

Support engineering change activities and document revisions.

Maintain organized electronic and physical documentation systems.

Assist in developing and maintaining engineering procedures, manuals, and support documentation.


Project Coordination & Customer Support


Communicate with customers to obtain information required for engineering projects.

Provide updates regarding project status and drawing completion schedules.

Maintain and distribute engineering schedules to customers and internal teams.

Coordinate information flow between Engineering, Production, Sales, Operations, and Supply Chain.

Track project status and assist with prioritization of engineering requests.

Support department objectives by helping ensure projects remain organized and on schedule.

Identify opportunities to improve communication, workflow, and overall process efficiency.

Assist with department reporting and project tracking activities.


Bills of Material & System Support


Create, update, and enter Bills of Material (BOMs) into company ERP/MRP systems.

Review documentation for completeness and accuracy prior to entry.

Support maintenance of engineering and manufacturing databases.

Ensure accuracy of data used by Production, Purchasing, and Operations teams.

Maintain product structures, records, and engineering-related system information.

Support departmental reporting and information requests.


Supplier & Cross-Functional Support


Communicate with suppliers to obtain quotes, specifications, lead times, and supporting information.

Assist with processing orders and maintaining supplier records.

Work closely with departments across the organization to support project requirements.

Provide administrative support for meetings, projects, and departmental initiatives.

Assist with special projects and operational improvement efforts as assigned.

Support cross-functional collaboration and effective communication throughout the organization.

Process Improvement & Operational Support


Identify potential operational issues and recommend process improvements.

Support continuous improvement initiatives that increase efficiency and effectiveness.

Assist with the development of procedures, workflows, and documentation standards.

Help create operational and maintenance manuals that support manufacturing and customer needs.

Support department goals and objectives through proactive problem solving and attention to detail.


Qualifications


Required Qualifications


High School Diploma or GED.

Minimum 2 years of administrative support experience.

Experience working in a manufacturing, engineering, construction, industrial, or related environment.

Strong proficiency in Microsoft Word, Excel, Outlook, and other Microsoft Office applications.

Excellent written and verbal communication skills.

Strong organizational, time-management, and multitasking abilities.

Ability to prioritize work and meet deadlines in a fast-paced environment.

Strong attention to detail and accuracy.

Ability to maintain professional relationships with customers, suppliers, and internal stakeholders.

Strong problem-solving skills and ability to work independently.

Good mathematical and analytical skills.

Experience using standard office equipment and technology.

Background check and pre-employment drug screening required.


Highly Preferred


Manufacturing or engineering administrative experience.

Experience supporting engineering or technical teams in a manufacturing environment.

Experience working with Bills of Material (BOMs), ERP systems, or MRP systems.

Experience supporting engineering documentation and revision control processes.

Hands-on experience with CAD software and technical drawings.

Experience coordinating multiple projects and schedules simultaneously.

Experience supporting startup operations, plant expansions, or new facility launches.


Preferred


Associate Degree in Business Administration, Engineering Technology, or a related field.

Familiarity with AutoCAD, SolidWorks, or other design software.

Experience creating procedures, manuals, and technical documentation.

Knowledge of manufacturing workflows, engineering processes, and product development activities.

Experience supporting continuous improvement initiatives.


Working Conditions


This position operates primarily in a professional office environment. Periodic presence in manufacturing, warehouse, and production areas may be required to support engineering projects, review drawings, verify specifications, and coordinate activities with operational teams.


Employees may be exposed to varying temperatures, elevated noise levels, airborne particles, moving equipment, and active manufacturing operations when entering production areas. Required PPE must be worn in designated work areas, and all safety procedures must be followed.


Physical Requirements


Ability to sit and/or stand for extended periods while working at a computer, reviewing drawings, and collaborating with engineering staff.

Ability to use hands and fingers for repetitive tasks including keyboarding, mouse usage, handling documents, and working with technical records.

Ability to maintain visual acuity to accurately read technical drawings, specifications, measurements, and computer screens.

Ability to communicate effectively with customers, suppliers, engineers, and production personnel.

Ability to occasionally walk through manufacturing and warehouse areas to review parts, specifications, and project requirements.

Ability to occasionally bend, stoop, kneel, crouch, or reach while reviewing components or documentation.

Ability to occasionally lift, push, pull, or move office materials, drawings, sample parts, or equipment weighing up to 20 pounds.
