Description
The Patient Care Coordinator – Receptionist is a primary point of contact for current and prospective BodyByBariatrics patients. This position is responsible for providing an exceptional first impression, answering incoming calls, accurately triaging patient needs, helping prospective patients understand our services, converting qualified leads into scheduled consultations, and ensuring patients are connected with the appropriate team member.
Requirements
CORE EXPECTATIONS
1. Incoming Calls and Patient Triage: Own the incoming call experience by promptly answering calls, understanding the reason for the call, accurately triaging the patient, resolving requests when appropriate, and ensuring anything requiring additional assistance is routed to the appropriate team member for follow-through.
2. Prospective Patients and Lead Conversion: Own the prospective patient experience from initial inquiry through scheduling by understanding the patient's goals, identifying whether they are seeking Surgical Weight Loss or Medical Weight Loss, educating them on the appropriate next step, communicating the value of the practice, addressing reasonable barriers to scheduling, and making every reasonable effort to convert qualified leads into scheduled consultations.
3. Practice Operations and Administrative Support: Support smooth day-to-day practice operations by proactively managing routine administrative tasks, including emails, faxes, mail, medical records, notes, and other assigned administrative requests. Keep information organized, ensure items are appropriately handled or routed, and complete routine operational tasks so other team members can focus on their primary responsibilities.
4. Attention to Detail, Accuracy, and Follow-Through: Demonstrate strong attention to detail, accuracy, and follow-through when reviewing patient, lead, insurance, scheduling, and practice information. The individual must review the most current information and applicable notes before responding or taking action, avoid assumptions based on incomplete or outdated information, and take ownership of correcting errors or discrepancies when identified.
5. Healthcare Knowledge and Compliance: Develop and apply knowledge of healthcare operations and patient privacy requirements including insurance benefits and terminology, prior authorizations, referrals, HIPAA, medical records, and other applicable healthcare workflows. Prior medical office experience is preferred; candidates without this experience must be willing and able to learn these concepts and understand that healthcare knowledge is an essential part of successfully performing this role.
