About the Role
Job Purpose
As a Parts Advisor you will provide a consistent outstanding level of customer experience throughout the parts order process online and over the telephone. Professional call handling, efficient interpretation, speedy dispatch and delivery on time every time is a must.Key Responsibilities
This role may grow and evolve over time and whilst the key responsibilities for the role are outlined below they are not limited to same.- Act as the first point of contact for parts enquiries from customers, suppliers, technicians and trade accounts.
- Identify and supply the correct vehicle parts and accessories using electronic parts catalogues and manufacturer systems.
- Prepare and provide quotations for parts and accessories.
- Promote the sale of genuine parts and associated products.
- Develop and maintain positive relationships with retail, trade and internal customers.
- Process customer orders accurately and efficiently.
- Raise purchase orders and parts requisitions as required.
- Monitor outstanding orders and backorders.
- Liaise with suppliers regarding stock availability, pricing and delivery schedules.
- Ensure customers are regularly updated on order status and expected delivery dates.
- Ensure stock is stored correctly and securely.
- Complete stock checks as required
- Maintain accurate inventory records within the Dealer Management System.
- Identify slow-moving, obsolete and damaged stock and report accordingly.
- Supply parts to workshop technicians in a timely manner.
- Ensure technicians receive the correct parts to minimise vehicle downtime.
- Assist with urgent vehicle off-road (VOR) parts requirements.
- Work closely with Service Advisors and Workshop Controllers to ensure efficient workflow.
- Ensure all documentation is completed accurately and filed appropriately.
- Maintain a clean, organised and safe parts department.
- Comply with company policies and procedures.
- Follow manufacturer standards and parts handling requirements.
- Ensure adherence to health and safety regulations at all times.
- Keep up to date with new vehicle products, parts ranges and manufacturer systems.
- Participate in training and development activities.
- Contribute to improvements in departmental efficiency, stock control and customer service.
Essential Knowledge, Skills & Experience

- Deliver consistent and efficient inbound telephone call handling and parts interpretation to our Customers.
- Promote all our brands internally and externally, deliver an excellent Customer experience that earns loyalty. Utilise all advertising and promotional materials to the full to raise awareness of and promote The Harris Group.
- Process online and telephone parts orders efficiently for same day or next day delivery, communicate directly with Customers keeping them up to date of any issues. Raise orders, locate and organise delivery options for parts supply as required, satisfying customer needs.
- Interpret customers’ needs and prepare quotes for customers including price and delivery. Maintain and register customer quotes. Follow up with Customers on quotes not converted to orders.
- Knowledge of the range of HGV & LCV and engines including foundational engineering understanding
- Understanding of current parts supply chain processes
- Minimum 2 years’ experience in a similar role
- Good parts / mechanical knowledge
- Ability to work on own initiative or as part of a team
- Excellent communication and organisational skills.
- Ability to work accurately and efficiently with high levels of attention to detail.
- Flexible approach to work tasks.
- Computer literate with the ability to adapt to new systems.
- Ability to work under pressure and meet deadlines.
