Summary
Assists with the administrative, project management, and office management responsibilities of the Atlanta office as well as provides support to the engineering and leadership team.
Administrative Assistant Responsibilities
- Coordinates Atlanta office and co-op housing services & maintenance such as landscaping, parking lot upkeep, cleaning, security, office equipment maintenance, etc.
- Coordinates and arranges meetings and training events including scheduling, preparing agendas, reserving facilities, preparing materials, and recording and transcribing minutes of meetings.
- Orders and maintains office supplies.
- Coordinates safety equipment ordering, inventory, and periodic testing with safety coordinator.
- Coordinates Co-op Housing including scheduling and periodic inspection.
- Receives and organizes purchased and consigned materials.
- Organizes and facilitates employee development and performance review process including – preparing, scheduling, notifying, and tracking reviews. Assisting with coordination of employee feedback process.
- Provides project support – assists with administrative procedures such as project setup, required change orders, purchasing and tracking of parts, record keeping, project closing and project archival.
- Assists with expense reports including collecting, verifying receipts, and submitting to accounting.
- Maintains employee vacation schedule, including tracking spreadsheet and scheduling reminders.
- Supports recruiting activities including scheduling interviews, making travel arrangements, and preparing materials for onsite interviews and college recruiting.
- Coordinates and prepares new employee orientation materials and schedules.
- Pre-audits projects for compliance to project management policies, procedures, and best practices.
- Prepares various reports and presentations for management and employees.
- Organizes and maintains file system and files correspondence and other records.
- Coordinates and arranges office social events,
- Other duties as assigned.
Requirements
- High school diploma or GED and at least three years of office administration experience; or equivalent combination of education and experience required. A relevant post high school degree is preferred.
- Experience providing office management duties preferred. Experience working with Engineers or other technical professionals preferred.
- Must be able to read, write, and speak fluently in English.
- Must have ability to read and comprehend instructions, short correspondence, and memos.
- Must be able to write concise correspondence.
- Must be able to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Must be able to apply common sense understanding to carry out detailed but uninvolved written or oral instructions and ability to deal with problems involving a few concrete variables in standardized situations.
- Must be able to navigate Microsoft Windows operating system to achieve basic operations and organize files on the company file share system.
- Must have experience with Microsoft Office Suite, especially MS Outlook, MS Teams, MS Word and MS Excel. Must be able to type at 35 wpm or greater.
- Must be able to compute rate, ratio, and percent and to create and interpret graphs and charts.
- Must have personal transportation to enable basic errands, regular inspection of the co-op apartment, pick-up lunch for customers, and other assigned duties.
- While performing the duties of this job the employee is occasionally required to stand; sit; use hands to handle or feel or use objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop or kneel; talk, see, and hear. The employee must occasionally lift and/or move up to 25 pounds.
