Contract Coordinator

Pipp Mobile Storage Systems, Inc. is a dynamic and innovative organization committed to delivering excellence to our customers. As a rapidly growing company, we are looking for a highly analytical, business-minded Contract Coordinator to strengthen our finance and administrative operations.

You will work closely with the CFO, Director of Finance, Controller, and operational leaders to transform financial and operational data into actionable insights that improve revenue growth, profitability, cash flow, and overall business performance.
Key responsibilities of the Contract Coordinator include:
- Contract Coordination –
- Coordinate the review, approval, execution, and storage of company contracts.
- Maintain contract records, amendments, supporting documents, and insurance certificates.
- Track important contract milestones, including renewal dates, notice periods, and key obligations.
- Facilitate collaboration between Finance, Sales, Purchasing, Operations, IT, legal counsel, and leadership teams.
- Maintain contract dashboards, status reports, and tracking logs.
- Support onboarding requirements for customers and vendors.
- Ensure documentation and contract records are maintained according to company policies.
- Automation & Process Improvement –
- Identify opportunities to improve efficiency and reduce manual processes.
- Support automation initiatives using ERP systems, Microsoft 365, Power Automate, SharePoint, OCR, AI tools, and other approved technologies.
- Assist with workflow design, testing, implementation, and documentation.
- Create and maintain process maps, standard operating procedures, and training materials.
- Help improve visibility, accuracy, compliance, and internal controls through technology-enabled solutions.
- Support Accounting Functions - Provide back up support to the Accounts Payable and Accounts Receivable teams
To be successful in this role, the candidate should possess the following qualifications and competencies:
- Associate degree in Accounting, Finance, Business Administration, Legal Studies, or a related field or equivalent experience.
- Three or more years of experience in contract administration, accounting operations, document management, or related business functions.
- Knowledge of accounting procedures and internal controls.
- Experience working with ERP systems and business software.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Experience with contract administration or document management.
- Familiarity with Microsoft Power Automate, SharePoint, ODR technologies, Microsoft CoPilot, or other AI-enabled business tools.
