Position Title: Coordinator, Team Operations
Reports To: Manager, ON Programs and Community Engagement
I. Scope and Summary of Primary Responsibilities:
The Coordinator, Team Operations supports the smooth and effective delivery of CNIB programs, services, and regional operations. The position provides participant-centered intake, assessment, service navigation, program coordination, administrative support, and community engagement. The coordinator also provides occasional representational and logistical support to community events and initiatives as required.
This position requires a superior level of customer service expertise, accuracy, confidentiality, sound judgment, and diplomacy in working with staff, volunteers, program participants, and consumers.
II. Essential Functions
The position entails, but is not limited to the following general responsibilities:
- Perform and coordinate programmatic, operational, administrative, and logistical responsibilities in the region.
- Represent CNIB in local communities by attending events, fostering local partnerships, and engaging with local stakeholders.
- Support the local coordination and delivery of participant programs in Barrie.
- Provide participant-centered intake, assessment, service navigation, and ongoing coordination support for individuals accessing CNIB programs and services.
- Serve as a key liaison between participants, families, community partners, volunteers, and internal teams to connect individuals with appropriate resources, supports, and opportunities that help them achieve their goals and enhance their quality of life.
- Support the development and engagement of an active volunteer base for local programs and operations.
- Ensure understanding of, and compliance with, all CNIB policies and procedures.
- Champion CNIB's high standards of participant and customer service, ensuring they are understood by interns and volunteers and upheld across all aspects of local operations.
- Maintain accurate participant, volunteer, attendance, and contact information in Salesforce.
- Provide administrative, operational, and programmatic support to the Ontario team.
- Process and code invoices through the appropriate accounting system.
- Recruit, onboard, orient, and support volunteers, students, and Canada Summer Jobs candidates in collaboration with the Operations Manager.
- Lead by example in bringing CNIB's values to life by working with passion, determination, ambition, and a positive spirit to change people's lives and society itself.
- Promote an inclusive, respectful, participant-focused, and collaborative culture.
- Build strong, positive relationships with program participants and seek insight into their unique needs, goals, and lived experiences.
- Proactively encourage and refer program participants to CNIB programs and services that may benefit them, offering opportunities to expand their support network and deepen their community engagement.
- Other duties as required.
III. Qualifications:
Knowledge and Skill Requirements
- Proven track record of success in volunteer coordination and an administrative support role.
- Excellent customer service expertise.
- A detail-oriented approach to all work.
- Advanced proficiency in Microsoft Office applications.
- High degree of flexibility and ability to respond to new tasks.
- Strong verbal and written communication skills, superior interpersonal skills, and the ability to portray an appropriate professional image.
- Good relationship-building, team-building, and networking skills.
- Knowledge of accessibility standards and best practices is an asset.
- Ability to work independently within a predominantly remote environment.
Experience and Education
- Post-secondary degree or diploma in a related field.
- Two to four years of experience in administration, customer service, and service delivery within a charity or not-for-profit organization, or equivalent experience as deemed suitable by CNIB.
- Personal or professional experience relating to blindness and vision loss is considered an asset.
Work Environment
- Willingness to work flexible hours, including occasional attendance at weekend and evening programming or events.
- Daily workplace is based on site at the (location) Community Hub.
- Occasional travel within (region of) Ontario and throughout the province. Must be able to work and travel independently via public transit or car.
